We are looking for an Administration Support Officer to work as a member of the Medical Electronics Section within the Clinical Engineering Services at Torbay Hospital. The role provides comprehensive clerical and secretarial support to various sections of the service: Medical Electronics Section, Medical Mechanical Equipment Section, Medical Device Library, Medical Devices Trainer and Contract Management.

We are looking for someone who enjoys working in a diverse, forward-thinking environment and will be expected to act on their own initiative within defined boundaries. They will be working alongside the other Administrative staff and will share workloads. Training will be given to enable them to carry out their duties and personal development. The service encourages staff to undertake flexible working to achieve a good work-life balance and maximise the effectiveness of the service to meet stakeholders’ expectations.

Applicants should have a good general education (GCSE or equivalent), RSA II or equivalent as well as previous experience in working within an office environment. Proven organisation and communication skills are also required.

The role will provide administration support to the Clinical Engineering Services who manage and support a wide spectrum of Equipment across Torbay and South Devon NHS Foundation Trust (TSDFT). The post holder under the direction of the Maintenance Contracts Manager is expected to undertake:

  • Provision of clerical and secretarial support is maintained with an efficient, consistent and thoughtful manner.
  • Contribute to data inputting and processing on the trust's medical devices database management system.
  • Front of house duties to include: answering the phone, taking accurate messages, relaying customer enquiries to an appropriate member of staff, meeting visitors to the CES (Sales representatives, Service Engineers, trust employees), couriers and directing them to the locations/staff.
  • Promote and contribute in providing a professional advice & guidance service and demonstrate best value to the organisation.
  • Arrange meetings, make sure papers are available and collect reflective notes of meetings.
  • Provide administration support to the Head of Service and members of the CES leadership team to ensure we provide a safety-focused and high-quality service.

The Clinical Engineering Services provides a comprehensive management & technical support service for a broad spectrum of medical devices used throughout the health, care and social community. The CES service at Torbay is working in partnership with other Devon NHS Services to enable safe equipment for patients and staff. The administration support team works closely with a wide range of customers, not restricted to the Torbay area. The team optimises technical service support by reviewing various options with supporting medical devices or other scientific equipment to deliver best value without compromising safety. The CES ensures patient safety is delivered within a best value model to optimise life ownership costs.

You will work within our Medical Electronics section; being the largest section in CES (providing repair, routine schedule service maintenance, troubleshooting, technical advice and commissioning & device disposal (‘cradle to grave’). Medical Electronics implements and manages Medicines and Healthcare products Regulatory Agency (MHRA) Safety notices and Manufacturer product recall/updates. Within this section, there are three teams providing specialist support for Critical Care areas (Intensive Care Unit, Coronary Care Unit & High Dependency) and Operating Theatre Support (all Operating Theatres and Recovery areas). The administration support works across all these teams.

Qualifications:

  • 3x GCSEs grade A*- C in English, Maths and a Science subject or equivalent.
  • Or 2x AS levels in relevant subjects.
  • Or 2x A Higher Levels in relevant subjects.
  • 5x GCSEs grade A*-C including Maths, English and/or Science.
  • ICT AS/A levels grade A-E in Science, Maths or relevant subject.
  • NVQ 3 in Business Administration or Health Care Subject.
