Job overview:

Undertaking first line supervision of your allocated team, ensuring the provision of a comprehensive Administration Service, tailored to support a number of Clinical services throughout the Group. To liaise effectively with the Administrative Hub Team Lead ensuring they are kept informed of any issues which may impact on the effectiveness of the Administrative function or affect Clinical services. To ensure that the service administrative service delivery develops alongside developments within the clinical services.

Main duties of the job:

  • To provide operational day to day and first line supervision to the Reception Team.
  • To support the Service Manager in providing comprehensive Administrative support to Clinical Services throughout the Group.
  • To be fully conversant with all local policies and procedures and to ensure they are communicated and adhered to by all members of your team, taking action if needed as appropriate.
  • To have a comprehensive working knowledge of your area, including all processes to manage referrals, appointment systems (EMIS) according to the different service protocols.
  • To have experience of working within a busy reception with the ability to handle and process calls effectively and efficiently.
  • To be fully conversant with and able to use all relevant EPR functionality (EMIS/Docman) and any other software systems used within the Group to manage the business of the Group.
  • To support the Service Manager in monitoring performance and supervising the team.
  • To support the Service Manager in implementing change.
  • To provide first line supervision for the Reception Team.
  • To support the Service Manager in ensuring all staff are trained in order to effectively carry out their duties.
  • To attend meetings as appropriate.
  • To participate in chairing and minute taking of meetings as requested.

Person specification:

Experience:

  • Demonstrate experience of working with a busy NHS or general practice administration environment.
  • Understanding and knowledge of capacity and demand management of clinical services.
  • Extensive experience of supervising a team.
  • Demonstrable experience in complex workload management.

Qualifications:

  • Evidence of continuing professional development.
  • Previously gained or working towards a health records management qualification or recognised by IHRIM, NVQ L4, or equivalent experience/knowledge.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
