Job overview
To undertake reception and clerical duties, provide an accurate and efficient data entry of complex patient information within the Maternity Outpatient Department. Support the midwifery and medical staff as appropriate.
Main duties of the job
Arrange all Antenatal clinics and scans, using CareFlow and Soliton systems. Ensuring all NHS targets are met and inform the line manager if the deadlines cannot be achieved.
Work closely with the clinic midwives to ensure the smooth running of all outpatient clinics held in the Antenatal Clinic area at Stoke Mandeville Hospital.
Register, collate and enter onto the computer system all patient records. Gather, input and amend data on the CareFlow system including registering new patients, and undertake filing of all relevant patient medical records.
Provide reception cover within the busy Antenatal Clinic area at Stoke Mandeville Hospital, greeting patients and their families and all other visitors. Answering the telephone and dealing with enquiries as appropriate within a reasonable timescale.

EDUCATION, QUALIFICATIONS & TRAINING
- Good basic education.
- GCSE or equivalent in English and Maths.
- IT/Computer skills to RSA 1 or equivalent with recent work experience in this field.
EXPERIENCE
- Experience of taking and responding to telephone enquiries from customers and within own organisation and prioritising, as necessary.
- Recent experience of working within a customer care environment.
- Experience of working in a high demand, team-based environment.
SKILLS, ABILITIES & KNOWLEDGE
- Clear, concise verbal and written communication skills to enable liaison with multi-disciplinary team, patients and carers.
- Excellent keyboard skills to ensure all Outpatient activity is recorded onto the bespoke database in accordance with the Data Protection Act 1998.
- Able to give 100% attention to detail when scheduling of appointments to prevent breaches of waiting list targets.
- Aware of Confidentiality code of practice in relation to patients and staff.
- Able to work under pressure and deal with conflict situations to an amicable conclusion.
- Demonstrate ability to organise own workload.
- Flexible working attitude in order to be multi skilled in different areas of the service.
- Ensure punctuality and reliability of self to ensure good relationship within team environment.
- Knowledge of Careflow would be advantageous.
- Knowledge of Word and Excel would be desirable.
