Provide office, administrative and general non‑clinical organisational support to the Therapy Hub, working under the direction or supervision of the Therapy Hub Senior Administrator.
Main duties of the job
- Provide an efficient and effective administrative service as required by the Therapy Hub Team.
- Deal with enquiries via telephone and face‑to‑face, communicate information effectively, taking good quality information and ensuring messages are passed on clearly and within the required timescales while adhering to the Data Protection Act.
- Book therapists’ appointments and update the appropriate systems to record bookings.
- Arrange meetings (including distribution of agendas and minutes, booking venues and catering) as required.
- Maintain effective systems for filing, retrieval and archiving of documents and correspondence.
- Manage patient electronic records, including inputting patient contacts and supporting the management of patient waiting lists.
- Maintain and manage appropriate database(s) for the Therapy Hub Team to support waiting list management, generating reports when required.
Qualifications and Training
- GCSE Maths and English Grade C or above, or equivalent experience.
- RSA II in Word Processing or equivalent.
- European Computer Driving Licence (ECDL).
Experience
- Experience of working to deadlines.
- Experience of Microsoft Word, Excel and Outlook.
- Experience of filing systems, diary management and electronic staff records (ESR).
- Knowledge of the RIO system and relevant NHS clerical/administrative experience.

- Ability to prioritise workload and use initiative.
- Good interpersonal, telephone and communication skills.
- Ability to deal sensitively and appropriately with service users.
