Working within a small friendly team, our Anaesthetic rota co‑ordinator is an important member of the team, organising medical rotas to the highest standard and ensuring optimum levels of clinical cover across the three hospitals – Wigan, Leigh & Wrightington.

Main duties of the job

The Anaesthetic Rota Co‑ordinator will be responsible for achieving a high standard of anaesthetic cover through the efficient deployment and maximisation of anaesthetic resources within the Division, allocating duties for all Anaesthetic Consultants, middle grade and junior doctors.

The post holder is responsible for keeping accurate attendance records, noting annual leave, study leave and sickness.

Detailed job description and main responsibilities

The post‑holder will demonstrate an ability to work both supervised and unsupervised and be responsible for:

  • Understanding substantive medical posts within the Division and the Division’s service needs
  • Acting as the first point of contact for all rota communications in the Department and dealing with such communications promptly
  • Understanding the complexity of the European Working Time Directive (EWTD)
  • Co‑ordinating and approving annual leave, study leave and leave of absence for Anaesthetists in the Division
  • Inputting all leave absences to the CLW online rota, ensuring accurate records are maintained
  • Supporting the monitoring of medical staff sickness absence within the Division and ensuring the Office Manager is aware of sickness
  • Preparing detailed rotas to ensure theatres on all three sites are covered and on‑call rosters are covered
  • Allocating duties to medical staff, considering any specific training needs of the post holders
  • Identifying service gaps and planning/initiate cover, whether internal or locum, in a timely manner to meet service needs
  • Compiling/producing draft and published rotas for all levels of medical staff to maintain adequate levels and distributing duty rotas in a timely manner
  • Having a good working knowledge of the Lead Employer medical staff contracts, including LTFT, and inputting all leave and sickness into the Lead Employer portal ESR system
  • Arranging locums via the NHSP framework/system

Person specification

  • NVQ 3 or equivalent
  • Proven competence in Microsoft Office, including Outlook
  • GCSE in English at grade C and above

Experience

  • Experience working in the NHS
  • Understanding the importance of NHS issues
  • Experience of a busy working environment
  • Experience of Electronic NHS systems

Skills

  • Excellent organisational skills
  • Ability to liaise with all grades of staff both internally and externally
  • Good written and verbal communication skills
  • Ability to plan, organise and prioritise in response to deadlines
  • Managing urgent sickness and solving complex problems
  • Evidence of working with confidential information

Knowledge

  • Understanding of the Data Protection Act
  • Knowledge of medical rotas
  • Working knowledge of medical terms and conditions
  • Knowledge of Hospital Trust IT systems
