About the Role:
We are looking for a dynamic, friendly, and highly organised individual to join our team as a Membership & Operations Coordinator at our martial arts centre in Canary Wharf. This is a front-facing, fast-paced role that combines customer service, sales, admin, and operational support to ensure a smooth experience for both our adult and children\’s martial art programmes.

Main Responsibilities:
Sales & Membership Support
- Conduct 30-minute adult introductory sessions, including setup (banner, folder with information, breaking board, T-shirt, water bottle).
- Follow up with new trials, expired memberships, and renewals.
- Sell and process new memberships and ensure all agreements are signed and up to date.
- Proactively upsell martial arts gear such as uniforms, belts, T-shirts, bags, water bottles, and merchandise.
- Promote trial upgrades, sibling packages, summer camps, and birthday party bookings.
- Handle inbound and outbound sales calls and respond to enquiries via email and social media.
- Track student needs and encourage purchases that enhance their training experience.
Operational & Reception Duties
- Greet students and parents warmly during busy afternoon sessions (high-fives encouraged).
- Assist children in the hallway – putting on/taking off shoes, guiding them to parents, ensuring they are behaving appropriately.
- Use the walkie-talkie system to communicate with team members; ensure iphone is active and music is on in reception.
- Ensure all tech (laptop, iPad, phone) is safely secured during peak times.
Parent & Child Engagement
- Learn and use children\’s and parents\’ names for a more personalised experience.
- Give feedback to parents about their child\’s progress and behaviour.
- Communicate clearly with martial arts instructors regarding birthdays, new trial students, and special cases.
- Serve as a role model by fostering a positive and respectful environment that supports children\’s growth and development.
Admin, Stock & Social Media
- Maintain accurate records of attendance, agreements, and memberships.
- Process and manage gear orders and stock display at reception.
- Keep the gear display area tidy, attractive, and well-stocked.
- Support social media efforts with updates, promotions, and engaging posts.
- Monitor, reply to, and follow up on communications via email and phone.
Work Hours:
- Weekday (Monday Tuesday Wednesday Thursday Friday), typically from 4:00 PM – 8.45PM.
- Saturday: 8.45AM – 2.30PM
- Extra times needed for weekends that has Birthday Parties, Grading and Parents Night Out.
