Our client is a highly regarded commercial property and asset management firm who are seeking a Facilities Co-Ordinator (Administrator) to join their team based in Central London. This position will report into the Head of Facilities Management and support the Facilities Management division of the business.

Key Facilities Co-Ordinator responsibilities include:

  • Operational Management – manage all site-based documents and update as processes or services change, ensure a coordinated approach to the management of buildings working closely with the property management and facilities management teams.
  • Team Support – support the team in the delivery of a first-class facilities management service to customers.
  • Reporting – assist the Head of FM with producing quarterly contract reporting in line with their requirements. Check all supplier KPI’s are submitted correctly and compile reports as directed.
  • Insurance – review and report on incident and accident management, ensure all suppliers and sub-contractors insurance is up to date and liaise with insurance brokers to ensure site inspections are conducted on time.
  • Property Accounting – support the Head of FM with the delivery of service charge budgets, assist with quarterly variance reports and service charge reconciliations.
  • Contracts and Procurement – assist with the tender process and ensure all contracts are signed by the Head of FM.
  • Helpdesk – monitor site information and accurate system set up, review and report weekly PPM and reactive. Ensure PPM’s are in place for every building.
  • Team Co-Ordination and Administration – coordinate the teams diaries, travel, meetings and accommodation. Complete other ad hoc tasks when required.

This opportunity would suit someone with strong administrative experience within the facilities or property management industry. Other key requirements include:

  • Proven administrative and/or FM Co-Ordinator experience within the commercial real estate market.
  • Excellent interpersonal skills with strong written and spoken communication.
  • Excellent customer service experience.
  • Computer literate, competent with the Microsoft Office suite including Word, Excel, PowerPoint and Outlook.
  • Systems experience (MRI Qube would be preferred but not essential).

Salary up to £35,000 per annum, plus benefits and perks, such as breakfast and lunch provided in the office and discretionary bonus. Office based in Central London (fulltime in the office).
