Overview

This is a generalist HR administration support role for the Lexica business recently acquired by WSP. This is a part-time role (3 days per week) and will be a temporary contract up to 31 December 2025.

Responsibilities

  • Maintain and update electronic personnel records in the HR system
  • Assist with reporting from the HR system
  • Ensure compliance with GDPR, employment law and internal policies
  • Assist with recruitment campaigns: scheduling interviews, preparing interview packs, liaising with candidates
  • Monitor and manage the recruitment inbox, responding to queries or escalating promptly
  • Support onboarding and offboarding processes, including right-to-work checks and reference requests
  • Process new starter documentation and coordinate induction schedules
  • Coordinate training sessions and maintain training records
  • Respond to employee queries regarding annual and sickness leave and HR policies
  • Prepare and issue HR documents (contracts, offer letters, reference confirmation, variation letters etc.)
  • Support HR projects such as wellbeing initiatives and employee engagement
  • Ensure accurate recording of absences including sickness, annual leave, maternity/paternity and unpaid leave in the HR system
  • Provide administrative support with recording, tracking and uploading of performance reviews to the HR system
  • Assist with policy reviews and updates
  • Support the Head of HR and Executive Director of Operations with ad hoc administrative tasks

Qualifications

  • Previous experience in an HR Administration role is essential
