New Business Assistant (Residential Conveyancing)

Responsible To : Head of Marketing & Business Development

Main purpose of the role:

  • Manage new client enquiries, delivering a professional and responsive first point of contact, and converting prospective clients into instructed matters.
  • Build strong relationships with clients, estate agents and other referrers
  • Ensure enquiries are handled efficiently, quotations are issued promptly, and opportunities for new business are followed up effectively.

Duties and responsibilities include but are not limited to:

New Business & Enquiries Management

  • Handle all incoming residential conveyancing enquiries received by email, telephone, website and walk-in channels and ensure contacts are created on SOS.
  • Gather relevant transaction information from prospective clients and record on SOS.
  • Completing Conflict of Interest searches
  • Prepare and issue residential conveyancing quotations promptly and accurately using SOS
  • Act as the first point of contact for prospective clients.
  • Follow up outstanding quotations and enquiries to maximise conversion opportunities, and ensure this is documented on SOS.
  • Send prompt instructions to the Central Client & Compliance Team to open new matters within SOS and a Document Wallet for physical items
  • Record reasons for lost instructions on SOS and identify trends.
  • Deliver a professional and welcoming first impression of WSP.
  • Maintain regular contact with prospective clients pipeline throughout the quotation stage.
  • Identify opportunities to improve conversion rates and client engagement.
  • Ensure prospective clients receive timely responses and updates.
  • Support the onboarding process once instructions are received.
  • Work closely with the conveyancing team to ensure smooth handovers.
  • Maintain relationships with estate agents, mortgage brokers and other referral partners.
  • Respond to referrer enquiries promptly.
  • Provide updates to introducers where appropriate.
  • Support the development of new referral relationships.
  • Assist with networking events, marketing activities and business development initiatives.

Data, Reporting & Performance

  • Maintain accurate enquiry and quotation records.
  • Monitor enquiry volumes, conversion rates and lead sources.
  • Produce monthly management information reports.
  • Analyse trends and identify opportunities for improvement.
  • Support marketing and business development activity using enquiry data and insights.

Team & Operational Support

  • Work collaboratively with fee earners, paralegals and support staff.
  • Support process improvements within the enquiry journey.
  • Assist with departmental administration relating to new matters where required.
  • Ensure compliance with firm procedures and regulatory requirements.

Conduct other reasonable duties which will require the following competencies:

  • Be organised to support colleagues deliver uncomplicated client services.
  • Develop positive relationships with colleagues and clients alike to drive a commercially successful and approachable business.
  • Work compliantly to internal policies and third parties’ regulation e.g. the SRA.
