YOUR NEW ROLE, WHAT'S INVOLVED?

- Responsible for providing highly efficient operational and administrative support to business leaders; this is an exciting and varied role.
- You will be expected to use your own initiative and act as a gatekeeper, project manager and contributor to key initiatives and activities allowing Directors to focus on their core activities.
- Some of your typical tasks might include (but are not restricted to):
- Provide a high level of operational and strategic support to business leaders and senior team members.
- Develop and maintain knowledge of the business unit including business strategy, key projects, initiatives, clients and stakeholders.
- Enhance productivity of business leaders through best use of technology and systems to improve efficiency and quality of operations.
- Anticipate and proactively manage the diary, inbox and associated tasks, as well as international and domestic travel bookings.
- Manage tasks and queries on behalf of Directors in a timely manner with the ability to establish priorities based on understanding of the business and strategy.
- Draft external and internal communications and contribute to profile raising.
- Contribute to events, business development and marketing activities.
- Handle speaker opportunities and presentation research and development.
- Stay one step ahead of the team, anticipating requirements and proactively bringing together resources to support them.
You will be responsible for the day-to-day line management of PAs. This will involve managing and motivating your team ensuring objectives are achieved and the performance of individuals within the team are maximised. You will gain invaluable insight and experience of working for one of the world's leading engineering professional services firms and will work with internal stakeholders across our many and varied different functions and disciplines.
OUR TEAM
The Business Solutions team plays a key role in supporting leadership and the wider business, helping to ensure the smooth and efficient running of our operations. The team brings together a range of specialist services, including Business and Project Support, Document and Accessibility Services, Graphics, Concierge, Travel support, and a network of Personal Assistants. You’ll be part of a collaborative and professional community, with opportunities to build relationships, share knowledge and best practice, and contribute to continuous improvement initiatives. We are committed to providing development and opportunities to grow your skills and experience. This role follows a hybrid working model, with a requirement to work from the office three days per week and the flexibility to work from home for up to two days per week.
WE’D LOVE TO HEAR FROM YOU IF YOU
- Have previous experience as an Executive Assistant, Personal Assistant or similar role where you delivered a high-quality business administration service in a demanding and pressurised environment.
- A professional and confident manner.
- A desire to work in a fast-paced environment and display a flexible and adaptable approach.
- An eye for detail and the ability to work independently, quickly and efficiently.
- Have the ability to build effective working relationships with colleagues across the organisation.
- Have the ability to plan, prioritise, problem solve and use own initiative.
- Have strong verbal and written communication skills, with excellent attention to detail.
- Have a robust understanding of discretion and confidentiality.
- Are fully conversant to an advanced level in Microsoft 365, including Word, PowerPoint and Excel.
- Have a minimum of 10 GCSE's or equivalent including Maths and English. A-Levels or equivalent is desirable.
