Fixed Term Contract – Travel Coordinator, UK Business Solutions

As Travel Coordinator you will be responsible for effectively supporting complex travel requests and managing internal travel processes and procedures. The role will involve communicating best practice and guidance to the UK business in relation to company travel and coordinating travel requests for UK employees, working with the UK Travel team to ensure requests are met.

Responsibilities

  • Report to the Travel Lead.
  • Manage day‑to‑day travel operations across the UK Business, ensuring accurate and effective service of travel requests from enquiry to reconciliation.
  • Ensure air, hotel, rail and other ancillary service reservations fully meet staff expectations and adhere to internal policies and procedures.
  • Advise on routes and best value carriers.
  • Maintain and update administration staff on relevant policies, procedures, and technology changes.
  • Guide colleagues on visa applications and car hire processes.
  • Act as the first point of contact for questions on WSP’s systems.
  • Support cancellations, post‑booking queries and amendments to travel plans.
  • Handle unforeseen problems, report issues and escalate potential risks, identifying solutions as appropriate.
  • Ensure minimal errors to avoid financial losses or client complaints.
  • Complete necessary health and safety checks in line with WSP international and domestic travel policies.
  • Assist Business Units with large and/or complex international travel bookings and liaise with local support in country.
  • Promote self‑service travel tools and communicate best practice across the business.
  • Comply with WSP’s Business Expenses policy, travel approval process and signpost staff to the policy when required.
  • Support the Travel Lead and wider Business Solutions Team as required.
  • Create a culture of trust and openness through the confidential handling of information.
  • Highlight and address areas of potential improvement to support the smooth running of the team.
  • Contribute proactively to a safe and healthy working environment.

Qualifications

  • Extensive experience delivering high‑quality travel and administration support in a demanding, pressurised environment.
  • Excellent geographical knowledge.
  • Professional and confident manner.
  • Proven experience in managing travel in a customer‑facing role.
  • Strong organisational and interpersonal skills and ability to manage expectations proactively.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Advanced level proficiency in Microsoft 365 (Word, PowerPoint, Excel).
  • Problem‑solving skills and own initiative.
  • Open communication and proactive sharing of knowledge and best practice.
  • Desire to work in a fast‑paced environment.
