A Little More About Your Role...
The Proposal Coordinator plays a key role in helping the Water Business Unit win strategic, sustainable work that enhances communities and environments across the UK. Working closely with Proposal Managers, technical specialists, Client Directors, and business leaders, you will coordinate multi‑disciplinary contributions and help produce high‑quality, high‑impact tenders. You will gain exposure to a diverse portfolio of opportunities across water engineering, asset management and advisory services, and you’ll be part of a supportive, ambitious work winning community that collaborates across many service lines.
Key Responsibilities
- Proposal Coordination & Planning
- Coordinate opportunities through the WSP Work Winning Lifecycle (Capture → Preparation → Qualification → RFP → Lessons Learned → Handover).
- Organise kick‑off meetings, planning sessions, progress reviews, and governance‑related reviews.
- Assist Proposal/Opportunity Managers in developing programme plans, deliverables matrices, compliance structures, and review schedules.
- Ensure stakeholders understand timelines, expectations, and actions.
- Support the creation, editing and refinement of narrative responses to ensure clarity, impact and compliance.
- Work with technical authors to translate technical information into compelling client‑facing content.
- Incorporate visuals, case studies, CVs and best‑practice content to strengthen proposal quality.
- Ensure all outputs meet WSP brand, formatting and quality standards.
- Follow WSP governance procedures and bid stage‑gate requirements.
- Manage client portals for bid submissions, clarifications and updates.
- Maintain accurate records in CRM systems and bid logs (e.g., pipeline data, decisions, actions and risks).
- Support progress reporting, document control, and reviewer engagement.
- Contribute to maintaining and improving knowledge libraries, templates, and standard content.
- Support lessons‑learned reviews and embed insights into future submissions.
- Help advance digital bidding techniques and continuous improvement initiatives across the work winning function.
Qualifications
What we will be looking for you to demonstrate...
- Degree‑level qualification (any relevant discipline).
- APMP Foundation (or willingness to obtain).
Experience
- Experience coordinating proposals, bids or work‑winning activities within engineering, environmental, infrastructure or related sectors.
- Experience managing multiple deadlines, stakeholders, and workflows.
- Familiarity with tender procedures and working to defined governance processes.
- Advantageous: exposure to Water or Environmental/Earth Science sectors.
Skills & Technical Competencies
- Excellent writing, editing, proof‑reading and communication skills.
- Strong Microsoft Office capability (Word, PowerPoint, Excel) and confidence working with templates and formatting.
- Ability to clearly structure and present complex information.
- Comfortable managing portals and digital collaboration tools.
- Strong organisational skills and ability to prioritise competing demands.
- Ability to quickly assimilate information and manage associated workflows.
