The Operations Administrator plays a key role in supporting the Operations function by managing order processing activities, including placing new orders, coordinating repairs, handling credit returns, and processing replacements for faulty hearing aids and accessories. The team is responsible for ensuring all orders and processes are completed efficiently and accurately, delivering industry-leading customer service. This role requires a high level of attention to detail, strong organisational skills, and the ability to manage quality and accuracy across all order processing tasks. This role is essential in enabling the accurate diagnosis of returned chargers while maintaining our commitment to same-day order processing and high order-entry accuracy across all operations. By identifying and returning devices with no faults, this role contributes to improved sustainability outcomes and reduces costs associated with unnecessary replacements. This is a fully office based role from Monday to Friday in our Chester office.

What you will do

  • Process new hearing aid orders within the ERP system, including scanning and transferring ear impression files.
  • Manage the replacement and dispatch of faulty devices, ensuring timely return to appropriate global refurbishment and distribution centres.
  • Handle customer returns and credit processing, coordinating shipments to global refurbishment centres as required.
  • Pick, pack, and dispatch orders from the local warehouse, maintaining accurate and efficient order fulfilment.
  • Support warehouse operations by ensuring effective stock control, inventory maintenance, and coordination of stock ordering and supplier deliveries.

What you bring

  • Proven experience working to KPIs, with a strong focus on accuracy and efficiency.
  • Excellent attention to detail and a high standard of work quality.
  • Strong IT proficiency, including MS Office, ERP, and CRM systems (Salesforce experience preferred).
  • Excellent interpersonal and communication skills, with the ability to build effective relationships with internal and external stakeholders.
  • Highly self-motivated, with the ability to manage and maintain personal quality standards independently.
