We are looking for a highly organised and motivated Air Freight Operations Coordinator to join our clients growing operations team. This role is responsible for coordinating import and export air freight shipments from initial booking through to final delivery, ensuring shipments are handled efficiently, compliantly, and with excellent customer service.

The successful candidate will work closely with customers, airlines, overseas agents, hauliers, and customs authorities to ensure smooth day-to-day operations while maintaining high standards of accuracy and professionalism.

Location: Solihull, West Midlands

Salary: £26,000 - £32,000 per annum (depending on experience)

Hours: Monday to Friday, 9:00 - 17:00 (1-hour unpaid lunch break)

Holiday: 25 days annual leave, plus statutory bank holidays

Key Responsibilities:

  • Coordinate import and export air freight shipments from booking through to final delivery.
  • Prepare and process all required shipping documentation, including: House Air Waybills (HAWBs), Master Air Waybills (MAWBs), Cargo manifests, Customs documentation, Airline documentation.
  • Arrange bookings with airlines and approved handling agents.
  • Monitor shipment progress and proactively communicate updates to customers and stakeholders.
  • Accurately enter and maintain shipment information within the company's transport management system.
  • Liaise with overseas agents, airlines, hauliers, customs authorities, and warehouse teams to ensure shipments move efficiently.
  • Resolve operational issues quickly and effectively to minimise disruption.
  • Ensure all shipments comply with aviation security, customs regulations, and company procedures.
  • Maintain accurate operational records and documentation.
  • Provide excellent customer service by responding promptly to customer enquiries.
  • Support the wider operations team with additional duties as required.

Skills & Experience:

  • Experience within freight forwarding.
  • Experience with a UK based freight forwarder.
  • Strong administrative and organisational skills.
  • Good working knowledge of Microsoft Office, particularly Excel and Outlook.
  • Excellent written and verbal communication skills.
  • Ability to work effectively in a fast-paced operational environment.
  • Strong attention to detail and problem-solving skills.
  • Positive, proactive attitude with the ability to work well as part of a team.
  • Experience using freight management systems such as CargoWise, ASM, Sequoia, or similar.
  • Understanding of customs procedures and documentation.
