Key Responsibilities

  • Strategic Scheduling: Expertly schedule video, audio, motion design and studio work across multiple production departments.
  • Resource Optimisation: Maintain daily oversight of the schedule, ensuring resources are allocated efficiently, fairly, and cost-effectively to maximise utilisation.
  • Proactive Planning: Anticipate and flag any potential roadblocks or workflow challenges, proposing solutions.
  • Project Information Management: Collaborate with Producers to gather comprehensive project details (e.g., briefs, scripts, technical specifications, timing plans, job & project numbers, font information).
  • Operator Support: Ensure all operators are fully informed of their assignments, allocated workstations/suites and relevant licenses.
  • Global Resource Coordination: Liaise with global offices to seamlessly coordinate resources and optimise asset utilisation across all sites.
  • Freelance Management: Cultivate strong relationships with external recruitment agencies to source and book high calibre freelancer talent, managing all associated administrative processes including finance approval, contracts, IR35 submissions, setups and NDA forms.

Reporting Lines

This role reports to the Head of Bookings. You will work closely with various levels of Management, Producers, operators and operational teams.

Qualifications

  • Experience: Proven bookings, scheduling or producing role.
  • Technical Skills: Proficient in an industry-standard scheduling software package (Xytech preferred).
  • Industry Knowledge: Good working knowledge of post‑production processes and services.
  • Organisational Acumen: Excellent time management, multi‑tasking abilities, and meticulous attention to detail.
  • Adaptability: Eager to adapt to new working methods, practices and emerging technology advances.
  • Relationship Building: Demonstrate ability to form and maintain strong collaborative relationships with post producers, operators & clients.
  • Problem‑Solving: Proactive, positive attitude towards problem‑solving amidst tight deadlines; capable of working effectively within a close‑knit team.
  • Communication: Strong negotiation and communication skills.
  • Client Focus: A clear understanding of, and commitment to, delivering exceptional customer care and service.
