In this role, you will coordinate and execute the onboarding process for candidates across multiple client accounts, ensuring compliance and smooth handoffs between Talent Acquisition, Sales, Legal, and operations. You'll guide candidates through document collection, screenings, and client-specific requirements, while maintaining accurate data in vendor systems and supporting cross-functional teams. The position focuses on efficient onboarding, background checks, and vendor management to enable timely starts. You will work with stakeholders to improve processes and uphold client standards while contributing to a structured, scalable onboarding function.
Key Responsibilities:
- Collaborate with Resource Management, Partner Management, Sales, and other stakeholders to streamline onboarding.
- Own end-to-end onboarding across client Vendor Management Systems with compliance and documentation.
- Guide candidates through onboarding steps including document completion and drug screening.
- Manage candidate data, start dates, and adjudication in vendor management systems.
- Review contracts and MSAs to capture pre-screening requirements and ensure client-standard compliance.
- Support client account audits with required documentation and validation.
- Document and update client processes and best practices in collaboration with legal on MSAs.
- Maintain internal communications and accurate records in the tracking system.
- Initiate and coordinate background checks and drug screens across accounts.
- Educate new managers and account teams on processes, client requirements, and systems.
- Ensure data accuracy by uploading documents and test results in vendor systems.
- Create and execute reports for internal and external stakeholders.
- Support process improvements to onboarding and vendor management workflows.
Key Requirements:
- Minimum of 2 years' progressive experience in a related field.
- Minimum of 2-3 years business experience.
- Executive level interface experience preferred.
- Proficiency with Microsoft Office Suite, Adobe Acrobat, database management systems, and familiarity with applicant tracking systems is a plus.
- Self-motivated, independent, creative, resourceful, and execution-oriented.
- Working knowledge of vendor management and background verification systems (e.g., Accurate, Fieldglass, HireRight, First Advantage) is a plus.
