About The Role

As an Aviation Allocator, you’ll be the central hub of our Gatwick fuel operations, ensuring every aircraft is fuelled safely, efficiently, and on time. You’ll coordinate flights, vehicles, technicians, and handling partners while maintaining excellent communication and operational awareness in a fast‑paced airside environment. This is a key operational role that directly supports World Fuel’s commitment to safe, reliable and customer‑focused aviation services.

Key Responsibilities

  • Operational Coordination
    • Act as the first point of contact for customers, airlines, and internal teams, delivering exceptional service.
    • Allocate flights to refuelling operators using the i6 system to ensure all fuellings are completed on schedule.
    • Monitor ACDM for flight changes (aircraft, stand, destination, timing) and update i6 accordingly.
    • Track and investigate fuelling‑related delays and communicate with the Handling Agent as needed.
    • Monitor i6 for discrepancies in vehicle meters and elevate issues promptly.
  • Resource & Vehicle Planning
    • Assist with vehicle and manpower planning to support the operation.
    • Allocate vehicles and maintain the vehicle defect and allocation board.
    • Ensure all fleet vehicles complete weekly checks and are refueled in a timely manner.
    • Prepare daily manning sheets based on the live roster.
    • Schedule meal breaks for refueling technicians without disrupting operations.
  • Safety & Compliance
    • Maintain a proactive approach to Health & Safety in all airside activities.
    • Report all incidents, hazards, or potential issues to a Supervisor or Manager.
    • Serve as Fire Marshal for the operation when required.
  • Team & Workflow Support
    • Work flexibly across a rotating roster supporting a 24/7 aviation operation.
    • Support Supervisors and Operations Leaders with operational continuity and coordination.

Required Skills & Experience

  • Strong computer literacy and ability to use aviation/operational systems (i6 experience beneficial).
  • Excellent customer service and interpersonal skills.
  • Strong situational awareness and ability to work under time pressure.
  • Ability to work independently with sound judgment.
  • Full UK driving licence.
  • Eligibility to obtain an airside ID, including full 5‑year background referencing.
  • Proactive approach to safety and adherence to all workplace Health & Safety standards.
