We are seeking an Event Operations Manager to play a pivotal role in delivering some of the world’s most influential energy events, including the World Energy Congress, the World Energy Impact Series, and the World Energy Leaders’ Dialogue. About the role
Reporting to the Associate Director, Global Events, you’ll manage the end-to-end operational delivery of global events - from event planning and management through to on-site coordination and post-event evaluation. You’ll work across international teams and with global partners to ensure every event is delivered seamlessly, professionally, and to the highest standard.
Key Responsibilities
- Manage the planning and delivery of event logistics, including venue arrangements, event services, technology, social events, registration, and exhibition.
- Prepare detailed operational plans, function sheets, run sheets, and planning documentation for internal teams, partners, and suppliers.
- Maintain project trackers and lead on reporting to ensure accurate progress updates are clearly communicated to stakeholders, and outstanding actions are proactively followed up.
- Collaborate with cross-functional teams (e.g., programme, membership, communications, sales, partnerships) to ensure alignment on operational requirements.
- Liaise with external stakeholders, including venues, suppliers, contractors, and partners, to ensure high-quality, timely, and efficient delivery.
- Operate effectively within a culturally diverse and international environment, demonstrating sensitivity to cultural nuances and global stakeholder dynamics.
Logistics
- Lead the review of technical specifications for event services, including venue requirements, room set-ups, staging, audiovisual, IT, catering, furniture, decoration, registration, social events, graphic facilitator, videography, and other related services.
- Review floorplans, CAD drawings, and venue layouts to ensure operational feasibility and successful delivery.
- Lead the coordination of all logistical operations, ensuring delivery within agreed budget, staffing, and time parameters.
- Ensure all logistical delivery meets the Council’s quality standards and international best practices.
Production
- Implement the experience design plan, providing technical and creative input on room set-ups, formats, staging, scenic design, signage, and overall production planning, aligned with event objectives, vision and theme.
- Support the preparation of the running order and show flow for programme, including opening and closing ceremonies.
- Manage and coordinate all production elements to ensure smooth and effective event delivery.
Registration, attendee management and exhibition management
- Manage event registration, ensuring a seamless process, systems, delegate journey and positive attendee experience.
- Support the delivery of exhibition operations, working closely with the sales team to fulfil exhibitor and sponsor requirements.
- Identify and implement technology solutions that enhance attendee experience, improve operational efficiency, and support marketing, commercial, and sales objectives.
- Manage the event technology ecosystem, including registration platform, apps, CRM integration, website integration, and other digital tools.
- Support event setup, breakdown, and on-site operations.
- Ensure compliance with health, safety, and legal requirements throughout the planning cycle and on-site delivery.
- Collaborate with internal stakeholders and event staff to provide effective onsite support and event coordination.
- Monitor and troubleshoot real-time operational challenges during events.
Post-event
- Assist with post-event wrap-up, including evaluations, feedback collection, and reporting.
- Provide insights for continuous improvement of future events.

About You

- Degree in events, marketing, tourism, or related field.
- Certifications: Event management certifications are preferred (e.g., CMP, CSEP, or similar).
- Languages: Proficiency in English is required; knowledge of additional languages is an advantage.
- Travel: Willingness and ability to travel as required for event preparation and on-site delivery.
