The IFC London Syndicated Loans & Mobilization Office is looking for a highly organized, dynamic Senior Program Assistant who can operate effectively and discreetly in a demanding fast-paced environment with excellent administrative, organizational, and interpersonal skills. The position is based in London, UK.

The successful candidate will be required to:

  • Provide professional administrative support services to the IFC London Syndicated Loans & Mobilization Office.
  • Work on multiple concurrent tasks with constant interruption without losing concentration or attention to detail.
  • Deal with emergency situations in a calm, efficient and prompt manner, showing an excellent sense of initiative and discretion.

Duties and Accountabilities:

  • Provide high quality administrative support to the Syndications Department and other London teams.
  • Manage and support calendar, including scheduling meetings, booking meeting rooms, creating VC connections etc.
  • Handle visa/travel requests for teams supported.
  • Assist with project and portfolio support tasks: compile information, prepare summaries, format documents, and create high-quality PowerPoint presentations and Excel spreadsheets.
  • Organize and coordinate logistics for the signing and transmission of legal documents.
  • Take the lead to organize, arrange the logistics and host bank/investor meetings.
  • Work with IT tools to keep an updated pipeline, reporting investor notes and other tools as and when developed.
  • Assist with financial and procurement processes, including processing travel expenses (SOEs), and assisting with purchase requests.
  • Support Senior Syndications Staff and other Senior staff from visiting missions within the Vice Presidency, including preparing meeting agendas, following up on briefs, scheduling meetings and coordinating calendar entries.
  • Handle incoming correspondence, internal and external queries for teams supported.
  • Provide support with all types of administrative requests such as office supplies order, staff directory changes, email distribution lists, visitor’s pass, videoconferences, Webex.
  • Maintain accurate electronic records and filing systems using platforms like SharePoint and OneDrive; ensure proper document retention and archiving for legal and syndication documents.
  • Establish and maintain an effective network of contacts, both inside and outside the unit, to ensure effective cooperation in support of front office needs.
  • Assist in preparation and logistical planning for various events e.g., conferences, workshops, negotiations etc. Provide support to visiting missions.
  • Work closely with Western Europe and other ACS teams for the daily running of the office.
  • Act as back-up to other ACS colleagues in the office in their absence or during a busy period.
  • Undertake ad hoc duties that may be assigned.

Selection Criteria:

  • At least a Bachelor’s degree and at least 5 years of relevant work experience in a large international institution or private sector organization, working experience in an international organization is a plus.
  • Excellent interpersonal and communications skills and ability to interact tactfully with people of all levels.
  • Excellent command of written and spoken English; fluency in other languages would be an asset.
  • Demonstrates positive attitude, willingness and ability to assist teams with any ad-hoc tasks that may come up.
  • Demonstrable team spirit and strong desire to actively contribute to the WBG’s mission and objectives.
  • Proficiency in modern office technology and software (e.g., Microsoft Office suite, Teams, SharePoint, OneDrive), with a strong willingness to learn and adopt new digital tools and process automation.
  • Makes decisions appropriate to scope of job. Seeks assistance and guidance from others where appropriate and uses own judgment to make timely and sound decisions.
  • Works cooperatively and displays an open, helpful attitude toward others and approaches conflict as common problems to be solved.
