The Role

We are looking for an experienced Executive Assistant to support the Managing Director, with additional support to the CTO, during an important period of business realignment and focus. This is a high-trust, hands-on role working closely with senior leadership. You will play a central role in managing time, priorities, information flow and follow through, ensuring the Managing Director is prepared, focused and able to deliver effectively. The role involves frequent communication throughout the day and will suit someone comfortable working closely with a fast-paced, highly engaged Managing Director while bringing structure, clarity and organisation to a busy environment. The successful candidate will be confident taking ownership of tasks and priorities and acting on their own initiative.

Key Responsibilities

  • Full ownership of the Managing Director’s diary and email inbox, proactively prioritising and organising time
  • Scheduling meetings, preparation time, follow-ups and focused work blocks to ensure effective outcomes
  • Ensuring the Managing Director is fully briefed ahead of meetings, decisions and tasks, with all relevant background information, context and documentation prepared in advance
  • Preparing the Managing Director for internal and customer meetings through clear briefs, objectives and supporting information
  • Capturing actions, decisions and objectives from internal and customer meetings and ensuring consistent follow through
  • Carrying out background research, internal fact finding and investigative checks to support objectives, address concerns or validate information when issues arise
  • Owning day-to-day office and operational administration, ensuring the smooth running of the office and facilities without escalation
  • Acting as a trusted office presence and point of coordination when the Managing Director is travelling
  • Supporting people related tasks, objectives and soft performance management through tracking, follow-up and clarity
  • Keeping the Managing Director on track by closing loops, anticipating issues, reducing distraction and ensuring commitments are delivered

About You

  • Comfortable working with a Managing Director who operates at pace and communicates directly.
  • You are able to stay grounded under pressure, bring clarity and structure to decision making, and focus on intent rather than interpretation.
  • You value a considerate, self-empowered and respectful working culture, while recognising that in a fast-moving, service-led environment things can occasionally become intense.
  • Proven experience as an Executive Assistant, Senior PA or similar
  • Experience supporting senior leaders in a fast-paced, changing environment
  • Smart, professional and well-presented
  • Calm, discreet and emotionally intelligent
  • Comfortable with frequent communication throughout the day
  • Proactive and confident taking initiative
  • Able to push back respectfully and challenge where appropriate
  • Highly organised with strong attention to detail and follow-through

Location & Working Pattern

Based primarily in our King’s Lynn office. Typically 3 days per week in the office, with office presence required when the Managing Director is travelling. Flexibility is provided when the Managing Director is working from home.

Renumeration and Benefits

  • Basic Salary: £40,000 to £45,000 per annum (DOE)
  • Contributory Pension Scheme
