We are looking for a confident Bid Coordinator to support high‑quality bid submissions across the Workplace Futures Group. You will work closely with colleagues from our project, design, commercial, and leadership teams to manage each tender from initial review through to final submission.
Key Responsibilities
- Coordinate bid submissions with the Project Team, ensuring all requirements are met and deadlines are consistently achieved.
- Review and analyse tender documentation to understand project scope, deliverables, and evaluation criteria.
- Engage with internal stakeholders to gather information and develop clear, compelling responses.
- Draft, edit, and proofread content to ensure accuracy, clarity, and alignment with group standards.
- Tailor submissions to reflect client priorities and highlight the strengths of the Workplace Futures Group.
- Prepare and format submission documents in line with client specifications and internal guidelines.
- Maintain strict version control and accurately record all updates and revisions.
- Work with the Bid Production Manager to refine processes, templates, and overall submission quality.
- Contribute ideas to improve the presentation, structure, and clarity of bid materials.
- Demonstrate strong time management, adaptability, and the ability to perform under pressure.
Graphic Design
- Provide creative solutions to make bid materials engaging and easy to navigate.
- Produce clear, well‑designed layouts, templates, and presentation materials using Adobe Creative Suite.
- Build digital content and interactive layouts using Figma.
- Create diagrams, infographics, and illustrations to communicate complex information effectively.
- Ensure consistent branding, typography, and colour schemes across all bid outputs.
- Maintain high visual quality while ensuring designs remain practical and aligned with internal requirements.
- Keep up to date with design best practices, tools, and trends that enhance the effectiveness of submissions.
Skills and Qualifications
- 3–5 years’ experience in bid coordination, proposal development, or tender management, ideally within the built environment or a related sector.
- Strong working knowledge of Adobe Creative Suite (InDesign, Photoshop, Illustrator) and Microsoft Office.
- Experience using Figma or similar digital design platforms.
- A portfolio demonstrating strong layout, document design, and presentation experience.
- Confident communication skills, with the ability to engage effectively with internal colleagues and stakeholders.
- Strong administrative and organisational skills with the ability to manage multiple projects and deadlines.
- High attention to detail and a consistent approach to quality control.
