About this role: Working within the Workman Touchwood Management office, this role will be responsible for raising orders, processing invoices, car park income reconciliation, business rates, vacant unit liability, monthly expenditure reporting, petty cash reconciliation, setting up suppliers, supporting in the production of timely and accurate financial data, including month end reports, budgets and forecasts and working with management to provide accurate financial data.

Key Responsibilities:

  • Ensuring the timely and accurate recording of financial data
  • Providing administrative support to the team
  • Liaising with clients, property managers, building surveyors, or property accountants on various processes.
  • Ad hoc duties as required
  • Budget and Forecast
    • Support the onsite Property Manager and General Manager with forecast, budget and end of year service charge reconciliation.
    • Support Marketing Manager with control and correct coding of Marketing and Events service charge lines.
  • Car Parks
    • Reconcile Car Park report data
    • Reconcile Car Park Income (cash collections and bank deposits)
    • Send cash revenue summary to accounts
    • Process Car Park refunds via NMI portal as required
  • Dwellant
    • Raise work orders and process invoices
    • Supplier reconciliation for setup, certification renewal and licences
  • Yardi
    • Download monthly expenditure
    • Remittance/Check payments
    • Check supplier bank details
  • Management Report
    • Update Car Park data
    • Vacant Unit update (business rates and utilities)
  • Business Rates
    • Receive, check, code and process all annual rates bills (liaise with property management team)
    • Liaise with local council contact
  • Vacant Units
    • Business rate mitigation of vacant units (managing storage schedule)
    • Manage landlord vacant unit costs (utilities)
  • Petty Cash
    • Reconcile receipts and coding accurately to multiple cost centres

    Required Skills:

    • Good knowledge of MS Office applications; Excel, Outlook, Word and Teams
    • Strong communication skills
    • High level of attention to detail
    • Self-motivation and ability to work as part of a team
    • Understanding of double entry book-keeping
