We are seeking an organised and proactive General Administrator to join our team at Merville Barracks, Colchester, CO2 7UT supporting the Headquarters of 16 Air Assault Brigade. This is an exciting opportunity for an experienced administrator who enjoys working in a fast‑paced environment and can confidently manage a variety of administrative, planning, meeting coordination, and travel management tasks.

Working closely with the J5 Resource Plans team, you will play a key role in ensuring the smooth delivery of administrative support across a busy operational headquarters.

What You'll Do
  • Meeting Coordination
    • Organise and support both virtual and face‑to‑face meetings, conferences, and team briefings.
    • Manage meeting schedules and calendars.
    • Prepare agendas, distribute documentation, and record meeting minutes.
    • Support online meeting platforms such as Microsoft Teams and video conferencing systems.
    • Coordinate venue bookings and logistical arrangements for in‑person events.
  • Administrative Support
    • Maintain and update databases, records, filing systems, and administrative documentation.
    • Manage digital filing and archiving processes, ensuring information is handled securely.
    • Use Microsoft Office and specialist systems to support planning and operational activities.
    • Provide general administrative support to the wider team as required.
  • Travel Coordination
    • Arrange rail, air, hotel, and other travel requirements for military personnel.
    • Obtain travel quotations and manage bookings through approved systems.
    • Prepare travel itineraries and associated documentation.
    • Act as a point of contact for travel‑related enquiries and changes.
    • Maintain accurate travel records and support expense tracking processes.
  • Planning & Resource Support
    • Support the administration of planning and resource allocation systems.
    • Assist with maintaining schedules and ensuring information remains accurate and up to date.
    • Provide user support and guidance where required.
What You Bring
  • Previous experience in an administrative, office support, or coordinator role.
  • Strong IT skills, including Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal and written communication skills.
  • Experience coordinating travel bookings and itineraries.
  • Confidence using online meeting platforms and troubleshooting basic technical issues.
  • GCSEs (Grade C/4 or above) in at least two subjects, or equivalent qualifications.
  • Ability to obtain and maintain Security Check (SC) clearance.
  • Desirable: experience working with planning, scheduling, or resource allocation systems.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Previous experience within Defence, Government, or Military environments.
  • Knowledge of specialist military or MOD systems.
  • Experience working in a busy, team‑oriented workplace.
