We are looking for a confident, highly motivated, conscientious, and efficient individual who is customer focused, can take the initiative and be able to work to strict deadlines with little supervision in a demanding environment. You must have a passion for working with vulnerable customers in a fast-paced working environment and be able to use your initiative to resolve complex situations and customer enquiries. You must have experience of working in an office/administration environment with an understanding of customer services and have experience of completing financial requisitions, and monitoring supplier invoices along with minute taking and multi-tasking. NVQ level 2 or equivalent qualification, skills, and experience is essential.

ROLE AND PURPOSE

To provide a high quality and efficient range of advice, administrative and work processing support services including preparing documentation and procedures, arranging meetings, minute taking, basic financial transactions and monitoring, maintaining databases/data entry, acting as the link between customer access channels and the delivery of services through the scheduling of requests for service, elements of interaction with customers, staff, stakeholders, partners and members, and other general administrative functions.

PRINCIPAL ACCOUNTABILITIES:

  • To promote and safeguard the welfare of children, young people and/or vulnerable adults.
  • Act as the first point of contact for all services within the team, provide detailed advice about the range of services available to ensure customers and colleagues are accurately informed.
  • Access and interrogate confidential and sometimes sensitive information on a range of Council systems and databases in order to assist in the delivery of services.
  • Create service requests, proactively produce monthly performance reports and management information using a variety of computer systems and databases.
  • Where applicable, administer the delivery of learning evaluations, facilitate the delivery of courses, for example booking rooms, recording attendance, booking travel and accommodation and using tools such as MS Teams. Assist with organising events and forums.
  • Monitor stock levels, source and create requisitions for goods, suppliers and services. Receipt goods received and pay suppliers’ invoices in accordance with the Council’s procurement strategy.
  • Create templates for and produce standard and non-standard written and digital materials, correspondence and documentation to ensure that communication with customers, staff and stakeholders is consistent, accurate, concise and easy to understand.
  • Take minutes for a range of meetings and other meetings where sometimes confidential and sensitive information is discussed.
  • Update and produce new procedures to ensure comprehensive procedure manuals are available to all staff and provides easy electronic access.
  • Maintain a range of filing systems including sensitive information. This could include the creation, updating/tracking, retrieval, archiving and destruction of materials in accordance with statutory and departmental requirements.
  • The Health and Safety at Work etc. Act 1974 and associated legislation places responsibilities for health and safety on Hull City Council, as your employer and you as an employee of the council.

Compensation Grades: GRADES 4.

Pay Ranges: £25,583.00 - £26,403.00
