Job Summary: We are seeking a reliable, proactive, and adaptable Operations Support Assistant to manage the opening and closing of our facility, while also handling multiple administrative and front-office duties. This role requires a combination of security awareness, customer service skills, and the ability to multi-task in a new build environment.
Key Responsibilities:
- Opening and Locking Up: Ensure the premises are securely opened at the start of the day and locked up at the end of each shift. This includes securing all doors, windows, gates, and entrances.
- Security Surveillance: Monitor security systems, alarms, and cameras, ensuring the safety and security of the building at all times.
- Patrolling: Conduct regular patrols of the facility to check for any security risks or safety hazards.
- Key Control: Control access to keys, ensuring only authorized personnel have access outside of regular business hours.
- Emergency Response: Respond to emergencies (fire alarms, medical emergencies, etc.) in a calm, efficient manner.
- Documentation: Maintain accurate records of all security-related activities, including opening and closing times, incidents, and maintenance issues.
- Reporting: Report any security breaches, damage, or suspicious activity to the appropriate management personnel.
- Front Office Support: Manage the front office, greet visitors, and assist with any inquiries or requests in a professional and courteous manner.
- Telephone Management: Answer phone calls, direct them to the appropriate staff, and take messages when necessary.
- Administrative Support: Keep administrative records up to date, including filing, data entry, and handling correspondence as needed.
- Cleaning and Maintenance: Perform light cleaning duties such as sweeping, mopping, and tidying up the front office and common areas to ensure a clean and presentable environment.
- Safety Protocols: Ensure all safety protocols and emergency procedures are followed during opening, closing, and throughout the shift.
