About the Role
Work.Life is at a pivotal moment in its growth. As we scale our portfolio, raise our standards, and invest intentionally in our spaces, we’re looking for a Facilities Manager who will help shape the future of our Facilities function. This role goes far beyond day-to-day maintenance. You’ll set the direction for how we invest in our buildings, how we scale sustainably, and how we partner with contractors, suppliers, and our Real Estate team to deliver spaces that are safe, inspiring, and commercially sound. You’ll own our Health & Safety approach end-to-end, ensuring the safety and wellbeing of both our teams and members is always front of mind. You’ll work closely with Real Estate on refurbishments and new space launches, bringing a strong operational and cost-conscious lens from day one. This is a key role in an ambitious business, ideal for someone who wants ownership and influence, setting the strategic standard for space quality and operational excellence across the Work.Life portfolio, ensuring consistency as we scale.
What You’ll Be Responsible For
- Facilities Operations
- Establish a clear, data-led approach to space, cleaning, and facilities audits, using insights to drive long-term investment decisions rather than short-term fixes.
- Own the end-to-end maintenance strategy, evolving preventative maintenance programmes to reduce disruption, downtime, and recurring issues at portfolio level.
- Act as the senior escalation point for critical site issues, leading decisive responses that protect member experience, safety, and commercial impact.
- Identify systemic facilities risks and recurring failure points, prioritising permanent solutions that improve reliability and reduce total cost of ownership.
- Set the direction for our Facilities Helpdesk, improving systems, reporting, and performance visibility to support faster resolution and better decision-making.
- Own the strategy and oversight of security infrastructure (CCTV, access control), ensuring systems are compliant, resilient, and aligned to future growth.
- Build facilities capability within Membership Teams through clear frameworks, coaching, and accountability, enabling strong on-site ownership without reliance on escalation.
- Provide senior out-of-hours escalation leadership for urgent facilities incidents, ensuring calm, proportionate, and well-managed responses when required.
- Take full ownership of statutory compliance across the Work.Life estate, ensuring all buildings meet legal, safety, and regulatory requirements at all times.
- Set and maintain a robust compliance framework, using audits and risk assessments to proactively identify gaps and drive corrective action.
- Own contractor safety governance, including induction standards, permit systems, and ongoing compliance assurance.
- Act as the internal authority on Health & Safety, legal, and environmental compliance, providing clear guidance and confident decision-making.
- Lead the design and delivery of fire safety and H&S training, embedding practical understanding and accountability across teams.
- Own Business Continuity and Risk Management planning, ensuring preparedness for incidents and operational resilience across the portfolio.
- Champion a culture where safety and wellbeing are non-negotiable, balancing care for people with clear standards and accountability.
- Set the strategic direction for facilities suppliers and contractors, building a high-performing partner ecosystem that supports scale, quality, and value.
- Lead tendering and contract decisions, ensuring commercial rigour, transparency, and strong long-term outcomes.
- Own facilities budgets, making informed investment decisions that balance operational efficiency with member experience and asset longevity.
- Partner closely with the Real Estate team on refurbishments and new space launches, shaping projects from feasibility through mobilisation with a strong operational lens.
- Continuously review supplier performance, contract structures, and delivery models to support consistency, resilience, and growth.
- Play a key role in delivering Work.Life’s commitments as a B Corp certified business, ensuring our facilities strategy reflects our responsibility to people, communities, and the environment.
- Embed B Corp principles into facilities decision-making, balancing cost, quality, risk, and impact when investing in buildings, suppliers, and systems.
- Partner with Sustainability, Operations, and Real Estate to ensure refurbishments and new spaces align with B Corp standards, long-term environmental performance, and future regulatory requirements.
- Support data collection, reporting, and evidence required for B Corp certification and re-certification, ensuring facilities contributes meaningfully and credibly.
- Challenge “business as usual” approaches by identifying smarter, more responsible ways to operate our buildings without compromising member experience or commercial viability.
- Act as an advocate for responsible facilities management, helping teams understand how everyday operational choices link to our wider purpose and impact as a business.
Your Skills
- Obsessed with high standards, ensuring top-tier service quality.
- Solution-focused, balancing efficiency and pragmatism in problem-solving.
- Excellent communicator, engaging effectively with colleagues, contractors, and stakeholders.
- Hands-on and proactive, while knowing when to delegate effectively.
- Independent decision-maker, confident in taking ownership and accountability.
- Advocate for continuous improvements, optimising systems and processes.
- Commercially minded, ensuring smart budget management and operational efficiency.
- Skilled in facilities operations and project management, with confidence in handling budgets and supplier contracts.
- Calm under pressure, maintaining professionalism in challenging situations.
Experience Requirements
- Previous proven hands-on facilities management experience, preferably in a scaling growth business.
- A qualification in health & safety (NEBOSH/IOSH) is desirable.
- Strong knowledge of legal and environmental legislation relating to buildings and facilities.
- Proven track record in contract and tender management.
