An exciting opportunity has arisen for a Ward Clerk at Bedford Hospital.
The role involves interacting with patients, relatives and staff, and requires an organised, efficient, reliable and adaptable individual to support ward administrative cover.
Main duties
- Provide a front‑line clerical service to clinical staff within the ward while offering "front door" style support to patients and relatives during visits.
- Ensure accurate and timely input of patient level data into the relevant clinical systems for admissions, discharges and transfers, strictly adhering to trust data quality, health records and information governance policies.
- Manage workload effectively and flexibly, covering various wards as required and adapting to the evolving needs of the business.
- Job responsibilities
- Update IT systems (Admissions, patient details, GP and next‑of‑kin information).
- Ensure patients are admitted under the correct consultant.
- File admission packs for new patients following admission pack filing procedures.
- Prepare ward trolleys for Ward Rounds, ensuring continuation sheets and labels are available for all inpatients.
- File discharge episodes in accordance with discharge filing procedures.
- Manage paperwork for deceased patients, contact the Bereavement Office and GP.
- Monitor IT systems throughout the day for changes in patient status.
- Support Ward staff with telephone enquiries.
- Sort and distribute mail, including re‑addressing mail for discharged patients.
- Report faults, required repairs or faulty equipment to the Facilities Help Desk and Clinical Engineering Department.
- Order non‑stock equipment and stationery from Lyreco/ADB, maintaining minimal stock levels in line with next‑day delivery availability.
- Induct and train new staff members.
- Carry out reasonable requests from the Discharge Officer and Ward staff.
- Execute all duties in a professional manner to support high‑quality patient care.
Qualifications
- GCSE or Equivalent
- Experience of working in a customer‑facing/reception role
- Experience using IT packages
- Knowledge of NHS IT systems such as IPM, Nerve Centre, Mediviewer or equivalent
- Understanding of confidentiality and good customer service
