A Primary School in Harrow is seeking an Office Administrator to provide a professional, efficient and responsive service supporting the school's day-to-day operations. The role combines reception services, educational visits, attendance support and catering administration. The postholder will work collaboratively with the administration team and provide excellent customer service to pupils, parents, staff, governors and visitors.

Duties

  • Act as the first point of contact for pupils, parents, visitors, contractors and external agencies, managing reception and telephone enquiries.
  • Support attendance administration, including first-day absence procedures, register monitoring and updating records in Arbor.
  • Coordinate the administration of educational visits, including documentation, transport bookings, parental consent and liaison with external providers.
  • Manage school meal bookings, pupil meal records, dietary information and enquiries relating to payments and eligibility.
  • Maintain accurate and confidential electronic and paper records in accordance with data protection requirements and school procedures.
  • Prepare correspondence, reports, forms and school communications, while supporting events, activities and administrative projects.
  • Work flexibly across the administration team, providing cover for colleagues and contributing to improvements in office systems and customer service.
  • GCSE Grade C/4 or above, or equivalent, in English and Mathematics, with a good standard of written and spoken English.
  • Experience of working in a busy administrative environment and providing excellent customer service in a public-facing role.
  • Experience of managing competing priorities, meeting deadlines and maintaining accurate, confidential records.
  • Experience of using Microsoft Office applications, particularly Outlook, Word and Excel.
  • Excellent organisational, interpersonal and communication skills, with the ability to remain calm under pressure and work independently or as part of a team.
  • Relevant business administration qualification or First Aid qualification.
  • Experience of working within a school or with parents and children.
  • Experience of educational visits administration.
  • Experience of Arbor or another school Management Information System.
  • Experience or knowledge of catering, school meal, booking or attendance systems.

Working hours are Monday to Thursday, 8.45am to 5pm, and Friday, 8.45am to 4.45pm. The successful applicant will be subject to safer recruitment checks, including an Enhanced DBS and Children's Barred List check, satisfactory references, identity and right-to-work verification, qualification checks and an online search.
