The Role: Working within our existing administration team, being the key point of contact for our customers and partners. To pro-actively foster and develop close working relationships with customers, partners and colleagues. To accurately input an update information onto our own and partners operating systems. To provide and maintain excellent levels of attention to detail to ensure all goods delivered are receipted and processed, therefore ensuring our delivery and collection performance is met and maintained.
Key responsibilities:
- Receive and process Proof of Delivery (POD's) by logging on Transport Management system and passing processed POD's to Accounts in an efficient & timely manner.
- Input data into company computer system in an accurate and efficient manner.
- Debrief drivers to ensure PODs are received for each delivery carried out.
- Chase outstanding PODS to ensure that invoicing gets carried out quickly.
- Inspect PODS for clauses due to damage or shortage & ensure customers and claims dept have knowledge of this.
- Ensure reporting is completed as per individual customer requirements.
- Answer telephone calls in a quick and polite manner.
- Report any customer complaints or complaints of any type to the Operations Manager.
- Scan Processed PODs onto Traffic Management System.
The Person:
- Will possess excellent verbal, written, and communication skills with the ability to communicate across different media (e.g. telephone, e-mail and electronic messaging).
- Will have high levels of accuracy and attention to detail.
- Will be passionate about delivering outstanding customer service to our customers, colleagues, and partners.
- While full training will be provided around systems, a strong overall I.T. knowledge is essential.
Essential criteria:
- 1 year's previous experience in the use of all Microsoft packages.
- Previous experience in a fast-paced office environment dealing with large volume of calls and administrative duties.
