Job Responsibilities:

  • To provide an efficient audio, copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
  • To create, send and manage patient referrals via the eRS, REGO and emailed referrals as required in a timely manner.
  • To feedback any issues or rejections to clinicians so that they can initiate further actions as required.
  • Follow up / chase referrals for patients who are unable to chase themselves.
  • Answer patient enquiries regarding referrals.
  • Submit 2ww Cancer referrals promptly, without delay.
  • Manage all referrals submitted to ensure any diagnosis are coded and appropriate follow ups completed as per QOF requirements.
  • To monitor, review and action secretarial tasks via EMIS and DOCMAN.
  • To monitor, review and action secretarial emails.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To keep all records up to date and accurate.
  • To assist with the gathering of statistics and information when required.
  • To provide cover for members of the team during periods of sickness and annual leave.
  • In liaison with the Operations Manager, maintain adequate supplies of office stationery in order to perform secretarial duties.
  • To review and action FP69 status within EMIS clinical system.
  • To carry out Close of Quarter tasks, liaising with the Summariser if there are any errors preventing its completion.
  • Disseminate referral updates/information/wait times to clinicians.
  • Other duties include supporting the day-to-day running of the surgery and any other duties commensurate with skills and responsibilities.
