Main Tasks and Responsibilities:
- To provide co-ordination and administration support to all team members of Woodford Services and customers of department.
- Managing emails and telephone call enquiries from clients and contractors within required timescales.
- Allocating jobs to contractors within an agreed time frame.
- Ensuring all tasks are completed fully and in line with SLA’s and KPI’s (reactive and planned maintenance).
- Managing and updating our CAFM system and the client as well as issuing invoices for completed works.
- Ensuring Engineering Planner is scheduled efficiently to reduce travel time and maximise productivity.
- To operate and be measured against business KPI’s.
- Supporting the engineering team by sourcing and placing orders for parts and materials costs.
- Gather information to compile and submit quotations for additional and remedial works.
- Following up on outstanding proposals/quotations issued to clients as well as subcontractor reports to send to clients.
- Assisting in setting up new PPM contracts and scheduling works.
- Assisting in taking in and arranging material orders and subsequent information logging on trackers.
- Ensuring all Statutory Compliance Procedures are followed.
- Highlight remedial jobs required following planned maintenance jobs.
- Deliver exceptional customer service whilst answering telephone and email queries.
- Building outstanding working relationships with our colleagues, clients and contractors.
- Bring innovation and better ways of working.
- Approving invoices related to works completed.
- Meeting (in person and Teams) clients to update on completed & outstanding jobs.
- Carrying out credit control duties to assist the team.
- Additional ad hoc duties where required.
