Wood is currently recruiting for a Team Secretary to join us in Reading on a permanent basis, providing comprehensive secretarial and administrative support to a business unit. The primary requirement of this role will be to support the management team with secretarial support and administration for the department.
Responsibilities:
- Diary management of Head of Department.
- Screening and fielding telephone calls.
- Monitoring e-mails (action, forward and filing accordingly).
- Arranging worldwide travel, flights, accommodation, transfers sometimes with complicated itineraries.
- Coordination and distribution of weekly, monthly and executive reports.
- Collating, running and updating weekly department reports.
- Point of contact for the department.
- New starters admin, induction and organisation of equipment as well as admin related to leavers.
- Formatting documents.
- Oracle support to team.
- Expenses collation and approval.
- Meeting room bookings and hospitality.
- Review and update of department data including minute taking.
- Various department admin duties including holiday charts.
Qualifications:
- Working in a similar role would be advantageous.
- Good PC skills required.
- Must be flexible and able to work on own initiative.
- Good verbal communication skills.
- Attention to detail.
- Proven administrative experience.
- Numerate.
- Experience of working in a fast-paced environment.
