Overview

Wood is recruiting for a Receptionist/Travel Coordinator to join its Operations team to provide reception, travel booking, mail services and administration assistance to the Stockton office. The successful candidate will support the facilities team in achieving their organisational targets in a proactive, effective, confidential manner.

Responsibilities

  • Front of house – first point of contact for Wood employees, clients and visitors. Meet and greet guests, sign them in, issue passes and communicate induction details.
  • Carry out new starter inductions, prepare new passes and share relevant information.
  • Main reception telephone – handling incoming calls.
  • General administration duties as requested, including HSSE documentation, updating office handbooks, preparing weekly incident wardens and first aider itineraries, maintaining logs and other administration duties as required.
  • Book/manage travel arrangements including car hire, hotels, flights and rail.
  • Incident coordination support for HSSE in the office (fire and first aid incidents).
  • Super users of Cloud Booking for meeting room, desk and hot desk bookings; update data and manage meeting room setup, including AV equipment.
  • Order/recharge stationery and manage catering requirements for meetings as needed.
  • Super users of Ergo Global workstation assessment system; assist with equipment requirements and highlight issues.
  • Manage office courier and postal requirements.
  • Raise purchase orders in the iProcurement system when requested.
  • Update weekly office communications using PowerPoint for display on office TVs.

Qualifications

  • High school education or equivalent experience is preferred.
  • Excellent customer service skills with a high level of tact, diplomacy and confidentiality.
  • Good knowledge of Microsoft Word, Excel, PowerPoint and Outlook.
  • Desirable: First Aid Trained.
