The EU Prime and Marketing team is seeking an exceptionally proactive, customer obsessed and team-oriented Executive Assistant with a history of high performance to support two directors based in the UK/Europe. This exciting role requires superior attention to detail, great organizational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior leaders inside and outside of the company is important. A good sense of humour is critical, as is the ability to be flexible, and to change direction at a moment’s notice.
The successful candidate will possess the ability to complete complex tasks quickly and independently, react with appropriate urgency to situations that require a quick turnaround and be able to take effective action without having to know the total picture. The role will work closely with other Executive Assistants throughout the organization and the company. You should ideally have knowledge and experience working with a global team across multiple time zones, languages and cultures. Candidates should demonstrate an understanding of business structure, as well as the desire and aptitude for learning new concepts quickly. Key job responsibilities
- Manage a complex, multi-time zone calendar; ruthlessly prioritise time against what matters most
- Own the rhythm of business end-to-end: WBR, MBR, QBR, All-Hands, offsites, team events
- Coordinate travel across EU; handle confidential information with impeccable judgement
- Operate two steps ahead — anticipate needs, flag what’s urgent, deflect what’s not
- Quickly build a deep understanding of EU Prime & Marketing priorities, org structure, and stakeholders
- Act as gatekeeper and sounding board — know where the leader’s time should go and propose course-corrections
- Leverage AI and work with the director to define how to best leverage AI in the EA / Exec relationship and in the team beyond.
- Own the internal comms strategy: define the right cadence and format (quarterly messages, All-Team connects, ad-hoc updates)
- Ensure messaging is consistent, authentic, and resonates across a multi-country audience
- Partner with and help steer the org’s culture champions / fun committee network
- Drive initiatives that foster connection and belonging regardless of location
Basic Qualifications
- Knowledge of Microsoft Office products and applications
- Experience as an Executive Assistant
- Experience with executive level calendar management
- Experience with domestic or international travel coordination
