We are seeking a Global People Capability and Culture Officer to start as soon as possible on a fixed term contract until January 2027 (maternity cover). The successful candidate for this role must be based in and have a right to work in either the UK, Germany, Iraq or Nigeria (please note no sponsorship is available for this role).
The Global People, Capability and Culture (PCC) Systems Officer is responsible for managing and optimizing the organization’s human resource information systems (HRIS) on a global scale. This role involves ensuring the effective use of PCC technology, improving PCC processes, and providing analytical insights to support strategic decision-making. The officer will work closely with PCC teams, IT department, and external vendors to enhance system functionality, user experience, and data integrity.
The Global PCC Systems Officer will have sharp problem‑solving and communication skills to undertake a variety of PCC technology systems support for Global PCC projects. You will be part of a hard‑working PCC team working across the landscape of People, Capability and Culture functions focusing on the systems component of the full employee lifecycle. As a key member of the Women for Women International Global PCC team, you will support the Global Director, People Capability. In addition, this position will liaise with other PCC team members in other countries (UK, US, Africa, Middle East) to ensure consistency of PCC practices, PCC projects and initiatives, and administration on a global level.
Key Responsibilities
- HRIS Management: The position is responsible for interfacing and problem‑solving with employees and providing guidance on all our PCC systems. This role covers a variety of support functions in keeping with proper PCC systems functioning, organizational policy and procedures and standard methodologies. This position will be the first line of support to answer general employee questions related to policies/ policy interpretation, and troubleshooting on PCC systems support. Oversee the implementation, maintenance, and enhancement of global HRIS: Ensure data accuracy and integrity across all HR systems Manage system upgrades, patches, and overall system performance.
- Project Management: Lead global initiatives such as the Global Employee Engagement Survey, Performance Review Cycles, Staff Development.
- Systems Management: Maintain all PCC Systems with accurate up to date information, conduct audits, roll out system features globally, lead system optimization projects. Assist with maintenance of job postings system of Pinpoint, and how the system supports well on process flow on prescreening candidates and interview process. Create an online positive onboarding experience for new employees which involves system related coordination of employee onboarding with departments. Ensure that our systems can support employee offboarding process as appropriate and provide summary feedback as necessary on employee experience as relates to systems use. Administer Global Rewards and Recognition Program. Co-lead other engaging employee programs with the Global PCC team. Administer all employment changes to HRIS and Payroll directly through the system or manually, depending on the circumstance (process promotions, departures, and other staffing changes). Assist PCC team with ad-hoc reporting, special projects and programs as requested.
- User Support and Training: Provide technical support and training to HR staff and end-users. Troubleshoot system issues and resolve user queries promptly. Conduct regular training sessions and update materials as needed. Trainings will relate but are not limited to staff development, recruitment, PCC systems platform utilization, etc. Collaborate with PCC peers and colleagues to ensure uniform PCC support and customer service on PCC IT systems. Find opportunities to streamline processes, build efficiencies and improve overall systems productivity.
- Vendor Management: Liaise with external vendors and service providers to ensure PCC high‑quality system performance. Negotiate contracts, manage relationships, and monitor service level agreements (SLAs) and vendor systems support.
- Policy Support: Contribute to the review of existing policies relating to PCC systems, support with the development of new policies and procedures, and liaise with Global PCC team to implement policies and support with the interpretation and rollout activities for staff.
- Special Programs: Participate and contribute with special assignments on PCC projects, such as employee listening, performance management initiatives, special events, such as retreats and US celebrations.
- Process Optimization: Identify and implement process improvements to streamline PCC operations. Collaborate with PCC and IT teams to integrate new functionalities and tools. Develop and maintain system documentation, user guides, and training resources.
Skills Knowledge and Expertise
- PCC Data Analysis and Reporting: Generate and analyze PCC metrics and reports to support strategic decision‑making. Provide insights on workforce trends, employee engagement, demographics reporting and other key PCC indicators. Ensure compliance with data protection regulations and organizational policies. Provide Ad Hoc Reporting, interpret and produce PCC data for key stakeholders.
- HRIS and Payroll: Subject matter expert on administering Bamboo and ADP to ensure employee files and data meet accuracy and integrity standards. Daily administration in system and communication with external vendor of these products to ensure compliance. Support country office: Requests from PCC professionals in country offices with HRIS, global PCC systems, onboarding, and off‑boarding processes for GSC staff.
- Project Management: Lead PCC information systems‑related projects, including system upgrades, new module implementations, and integrations. Develop project plans, timelines, and budgets, ensuring projects are delivered on time and within scope. Coordinate with global stakeholders to ensure system changes meet organizational needs. Contribute to the PCC priorities such as the roll‑out and monitoring of the Engagement Survey, Performance Review cycle initiatives and ownership of the systems, as well as supporting a healthy work environment.
