About the Role

The Director of Infrastructure, Planning & Environment will be supported by an Executive Assistant who will work in a fast‑paced environment, anticipate the Director’s needs and exercise initiative to ensure the smooth operation of the Director’s working day. The EA will also support the wider service area and senior leaders within the Communities Directorate to achieve business excellence through comprehensive and high‑quality support. Key aspects include building effective relationships with internal colleagues, councillors and external stakeholders, acting as the first point of contact for requests and enquiries into the Director’s office, and responding on the Director’s behalf with sound judgement and professionalism.

Responsibilities

  • Email and diary management with proactive action, coordinating meetings and events, preparing agendas, forward‑planning, taking minutes and tracking progress.
  • Gatekeeping for the Director – first point of contact for requests and enquiries, coordinating and directing correspondence, and responding on the Director’s behalf when appropriate.
  • Production of high‑quality documents, presentations, correspondence and briefing notes.
  • Processing financial accounting tasks, including forecasting and invoicing.
  • Providing proactive support to members of the Director’s Senior Leadership Team.

Qualifications

  • Proven track record of secretarial or administrative experience.
  • Practical knowledge of office administration (NVQ Level 3 in Administration or equivalent).
  • Proficiency in Microsoft 365, Word, Excel, PowerPoint and a high‑speed keyboard.
  • Effective written and verbal communication skills and the ability to interact with individuals at all levels.
  • Flexible, adaptable and able to work independently as well as part of a team.
  • High attention to detail, proactivity and a can‑do problem‑solving attitude under pressure.
  • Experience working with senior officers.
  • Access to own transport is beneficial.
