Position: School Receptionist/Administrator (Full‑time) – 37.5 hours per week, 8.00am – 4.00pm. Term time only with 1 week plus 5 teacher training days. Salary dependent on experience. Scale point as per school.
Job Purpose
To ensure an effective communications and reception service within the establishment and to outside agencies and members of the public, and to provide clerical and administrative support as necessary.
Duties and Responsibilities
- Provide an efficient and welcoming reception service for the school, under the direction of the Office Manager.
- Answer, transfer, and take messages on the telephone system; ensure night mode operation at appropriate times.
- Distribute messages promptly via e‑mail and monitor the school’s admin mailbox.
- Maintain accurate visitor and student lateness records using appropriate systems.
- Assist with the maintenance of the student database (ARBOR), undertaking data input and retrieval.
- Compile daily pupil meal reports to the Catering Supervisor and record accurately in Arbor.
- Compile daily pupil attendance records in ARBOR.
- Monitor sick students waiting in reception and contact parents if requested.
- Distribute all post received accordingly.
- Ensure compliance with Child Protection, security, confidentiality and Data Protection policies; report concerns appropriately.
- Adhere to School Health Policy, risk assessment, safety systems and Equality & Diversity policies.
- Contribute to the overall ethos of the school and support other professionals.
- Attend relevant meetings and participate in training and professional development.
- Be available for occasional ad‑hoc duties such as school trips and group supervision.
- Fulfil any other reasonable tasks requested by the line manager.
Essential Requirements
- Substantial experience of general clerical/administrative work, able to work independently.
- Proficient in Microsoft Office and ARBOR.
- Good literacy and numeracy skills.
- Excellent communication at all levels within the school.
- Effective use of ICT packages and good keyboard skills.
- Competent with administration equipment such as photocopier and scanner.
- Teamworking skills and understanding of school roles and responsibilities.
- Commitment to safeguarding children and young people.
- Appropriate knowledge of First Aid.
