Williams Lea seeks a Legal Administrator to join our team! Williams Lea is the leading global provider of skilled, technology-enabled, business-critical support services, with long-term trusted relationships with blue-chip clients across investment banks, law firms and professional services firms.
Purpose of role
The Legal Administrator's principal role is to provide the client with the administrative support they need to provide seamless legal services to their customers and help them maximise the amount of time they can spend on fee-earning tasks. The Legal Administrator will be responsible for completing defined legal administrative tasks, working within the client systems from the ODC while adhering to all client processes, protocols and policies.
Key responsibilities:
- Attending on receipt of instructions from Fee Earners and carrying out said instructions in accordance with the standard operating procedures
- Carrying out electronic checks and client due diligence in accordance with the Anti-Money Laundering regulations
- Sending out standard emails
- Updating data on CRM system
- Call handling as needed
- Providing a defined administrative service, including file opening and closing, following standard operating procedures
- Ensuring all work is completed to the highest standard
- Raising queries and concerns with designated individuals, as required
- Recording tasks and other management information, as required
- Completing reporting tasks, as required
- Producing and maintaining Excel spreadsheets, where required
- Liaising with fee earners, PAs, secretaries and other business support departments as required
- Contacting customers of client firms to gain personal and/or matter related information
- Taking an active role in the care of clients and being wholly familiar with all processes
Personal attributes:
- A legal administrator values quality and delivery of work above all else and has the responsibility to ensure that their skill set is up to date and they are familiar with the company and client's departments, key personnel, internal systems and procedures.
- Advanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint, research tools and other systems implemented by the firm.
- Excellent telephone manner and competent knowledge of telephone systems
- Excellent communication, organisation and team skills
- Excellent attention to detail
- Flexible and dependable, able to take the initiative
- Able to remain calm under pressure and work to tight deadlines and defined SOPs
