We invite you to join our wonderful, hardworking and friendly reception team. Situated in the Witterings, we are looking for a committed and enthusiastic individual with good IT knowledge and the ability to multitask. Previous experience with customer service is essential along with excellent communication skills. As the first point of contact, the impression you create will be lasting. You will be assisting patients with their enquiries, listening to their queries and signposting them to the most appropriate Clinician where necessary. We would like you to work from 08:15am, finishing at 6:30pm Monday, Wednesday and Friday.

Main duties of the job:

  • To provide high quality reception and general office/administration tasks, relating to the practice’s provision of excellent primary healthcare to its patients, and the smooth, effective running of the practice within a positive, friendly environment.

Job responsibilities:

  • Receive, assist and direct patients in accessing the appropriate service or healthcare professional.
  • Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
  • Deal with all general enquiries including booking, cancelling and amending appointments.
  • Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies.
  • Register new patients to the practice onto the Clinical System.
  • Ensure urgent and home visit requests are recorded appropriately to ensure timely action.
  • Receive and make telephone calls as required; participate in the practice centralised call centre.
  • Promote online services to patients.
  • Advise patients of relevant charges for private services.
  • Take payment and issue receipts for any chargeable services, ensuring accurate record keeping.
  • Action prescription requests within the practice timeframe, liaising with pharmacies as appropriate.
  • Receive and disseminate incoming mail as appropriate.
  • Ensure any safeguarding report requests are passed to the appropriate clinician in a timely manner.
  • Open/close premises in line with procedure including activation/deactivation of alarm.
  • Ensure the premises are completely secure.
  • Report any security issues accordingly.
  • As per both Government legislation and Practice policies ensure that all confidentiality, data protection and information governance policies and guidelines are followed and strictly adhered to, reporting any infringements to the Operations Office immediately.

Person Specification:

  • Able to deliver high quality customer service in a reception environment or with the general public.
  • Good telephone manner.
  • Experience of working in a busy environment.
  • Use of Microsoft packages, including Word and Outlook.
  • Previous receptionist experience.
  • Knowledge of Systmone.
  • Previous experience in a healthcare setting.

Qualifications:

  • GCSE A to C in English and Maths, or equivalent.
  • Excellent computer skills and knowledge.
  • Experience in customer service.
  • NVQ in Customer service or equivalent.

Personal:

  • Self-motivated and organised.
  • Awareness of confidentiality requirements.
  • Ability to work under pressure.
  • Excellent interpersonal and communication skills.
  • Reliable and flexible.
