The Production Assistant is responsible for the administration and daily running of the production and logistics department, reporting into the Production and Logistics Coordinator and Head of. This role will cover the end to end lifecycle of our products ensuring we are delivering products at the right price, the best quality and in-line with set timelines for our customers. This role is the backbone of the department ensuring processes run smoothly and systems are kept up to date.
- Support production team on the day to day running of the department
- Act as a key point of contact for all suppliers, factories and transport partners, dealing with any issues in a timely manner and escalating to line manager when needed
- Ensuring all deadlines are met to maintain on time delivery and quality production
- Maintaining accuracy of all production files including critical path, invoice tracker, RM trackers, Zedonk, range plan, product list and barcode masterfile
- Raising production PO’s for RM and finished goods and placing orders with suppliers/factories after sign off
- Supporting team to ensure all cost targets are met and always pushing for cost savings where possible
- Create and maintain accuracy of all product barcodes and communicating to factories
- Complete all pre shipment QC checks with sign off from Head of. Communicate any feedback/comments to factories. Escalating issues with proposed solutions to the manager
- Process bulk invoices, checking against forecast and flagging any substantial discrepancies to manager
- Act as a brand ambassador and sustainability advocate
Logistics
- Work with coordinator to gather weekly quotations to ensure best costs for transport, across bulk and sampling
- Keep ex factories up to date in systems and delivery schedule to ensure team can accurately forecast shipments and cross cost in good time
- Organise all documents to track and manage logistic costs and bookings
- Create all shipments documentation accurately to avoid any delays
- Support coordinator in all wholesale orders and shipments
Raw Material Management
- Book and manage bulk RM orders and communicate to relevant stakeholders clearly and efficiently
- Take responsibility of trim requirements and place orders with suppliers after manager sign off
- Build and maintain fabric books to track all approvals and fabric submissions for relevant seasons
Product Management
- After production handover from PD, work with the coordinator to maintain all product information in the systems ensuring accuracy
- Updating all manufacturers with any order, product, trim or packaging changes once orders are placed
Sustainability
- Partnering with all suppliers to ensure our sustainability and code of conduct guidelines are followed
- Support team with managing excess stock to reduce waste when appropriate, such as sample sale and leftover raw materials
Skills and experience required:
- Fashion or business related Degree or equivalent
- Previous experience in retail or fashion industry role whether this is employment or placements
- Experience working in team environments and handling multiple deadlines
- Familiarity in Google software and experience with Zedonk would be beneficial
- Proficiency in Adobe suite - Illustrator and Indesign - is preferred but not required
- Excellent attention to detail and organisation skills
- Proactive problem solver with the ability to adapt to change
- Positive ‘can do’ attitude and goal oriented
- Ability to work independently
