We have an exciting opportunity for someone looking to start a career in clinical administration / support role. We are looking for a proactive person to join our clinical admin team. You’ll gain hands‑on experience across different clinical areas, learning a range of skills to help keep things running smoothly and make a real impact on patients and their families.

Wirral Hospice St John’s provides free care and support for adult patients with life‑limiting illnesses. The care we offer is based around what is important to them, meeting the holistic needs of our patients – physical, psychological, social and spiritual – and supporting their loved ones and carers without discrimination. Families are at the heart of everything we do.

Main duties of the job

The role will provide administrative support across hospice clinical services, working with staff, volunteers and service users.

Through a calm and professional approach this role will help deliver the smooth running of services, supporting service users’ needs.

You will be dealing with telephone calls, e‑mails and face‑to‑face contact with staff, volunteers and service users, ensuring enquiries are dealt with in an efficient and supportive manner.

  • Learn the various aspects of clinical administrative support within the hospice.
  • Liaise with other agencies, departments and official bodies to assist in providing a high‑quality, efficient service.
  • Act as an ambassador for the hospice and promote its services.
  • Provide administrative support (filing, scanning, photocopying, producing letters/documents).
  • Accurately input, retrieve and collect data using the hospice computer systems.
  • Work confidentially with clinical computer systems and electronic patient records, including retrieving, uploading and inputting information that may contain details and images of severe illnesses.
  • Deal with face‑to‑face and telephone enquiries, convey messages and transfer calls as necessary while maintaining confidentiality at all times.
  • Receive and process incoming and outgoing e‑mails and mail.
  • Communicate effectively and liaise with other professionals in a clear, concise and professional manner.
  • Taken‑care phone calls from bereaved families and distressed patients, dealing with them empathetically and professionally.
  • Attend all apprenticeship programme sessions, meet deadlines for assignments and assessments.
  • Raise any concerns about progress in the apprenticeship programme with the supervising Patient and Family Support Services Manager.
  • Engage in regular supervision and workload management meetings with the supervising manager.
  • Complete and maintain all mandatory training.
  • Achieve training and development requirements identified in the annual appraisal process.

Additional tasks may be required and will be provided upon induction.

Job responsibilities

Job title: Apprentice Clinical Administrator

Annual Salary: £14,723 – £23,810 per annum (national minimum wage for your age)

Location: Hospice

Contract: Fixed term for the duration of the apprenticeship, with permanent role upon successful completion of the course.

Skills, qualifications and qualities required:

Qualifications

  • Minimum of 5 GCSEs at grade 4/C or above to include English and Maths – or Functional Skills equivalent. If no Maths GCSE, Functional Skills in Maths will be offered and needs to be achieved alongside apprenticeship.

COMPETENCIES AND KNOWLEDGE

  • Keyboard and computer literacy skills; Understanding of Confidentiality.
  • Microsoft Office skills or similar; Knowledge of healthcare record systems.
