The Recruiting Coordinator supports the full-cycle recruitment process by sourcing candidates, conducting phone screenings for unskilled laborers, coordinating interviews with Hiring Managers, and sending employment applications and background checks to Corporate for processing. This role plays a key part in keeping the recruitment process organized and compliant, ensuring timely updates, accurate tracking, and a seamless handoff to the onboarding team.
Key Responsibilities
- Candidate Sourcing & Screening: Actively source candidates through job boards, referrals, and social platforms. Conduct initial phone screens to evaluate candidate qualifications and fit for unskilled laborers.
- Interview Coordination: Schedule interviews between candidates and Hiring Managers. Communicate interview details and logistics to all parties involved.
- Application & Authorization Processing: Review employment applications and background check authorizations. Ensure all required documentation is complete and properly filed. Follow up on results and flag any issues for review with the Recruiting Manager. Send New Hire Approvals for Hiring Managers and Corporate to process.
- ATS & Record Maintenance: Maintain accurate candidate records in the Applicant Tracking System (ATS). Update and manage a tracking spreadsheet with candidate statuses and progress notes.
- Recruitment Coordination: Partner with the Recruiting Manager to ensure all candidates move efficiently through the recruitment pipeline. Assist with recruitment reporting and process improvements.
- Handoff to Onboarding: Once a candidate has cleared all pre-employment steps, schedule onboarding dates and times with Workforce Development Team, hand off completed application packets to the Workforce Development Clerk for onboarding coordination.
Qualifications
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- 1-2 years of experience in recruiting or HR coordination.
- Familiarity with DOT and non-DOT hiring compliance preferred.
- Proficient in Microsoft Excel and Applicant Tracking Systems.
- Strong attention to detail, organization, and time management skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Excellent verbal and written communication skills.
