We're recruiting on behalf of a leading Facilities Management provider for an experienced Helpdesk Administrator to join their busy operations team. This is an excellent opportunity for someone with strong administration and customer service skills who enjoys working in a fast-paced environment, supporting both clients and operational teams.
You'll act as the first point of contact for maintenance requests, coordinating engineers and subcontractors, managing service requests, and ensuring high levels of customer service are delivered at all times.
Key Responsibilities- Act as the first point of contact for all facilities management enquiries via phone and email.
- Log reactive maintenance requests onto the CAFM system and ensure accurate records are maintained.
- Monitor and manage service requests through to completion, providing regular updates to customers.
- Coordinate engineers and subcontractors to ensure works are scheduled and completed within agreed service levels.
- Chase progress updates from operational teams and contractors where required.
- Escalate recurring issues or service concerns to management.
- Maintain excellent communication with clients throughout the lifecycle of each job.
- Manage work orders and ensure all associated documentation is accurate and up to date.
- Support statutory compliance across multiple sites by maintaining compliance records and documentation.
- Assist with contractor onboarding, inductions and permit-to-work administration.
- Provide general administrative support to the operational management team.
- Produce reports and compliance documentation as required.
- Support internal and external audits by ensuring records are accurate and readily available.
- Promote safe working practices and support Health & Safety compliance across the contract.
- Work closely with both Hard and Soft FM teams to coordinate planned maintenance visits and reactive works.
We're looking for someone who is organised, proactive and enjoys working in a customer-focused environment.
Essential- Previous experience within a Helpdesk, Customer Service or Administration role.
- Experience working within Facilities Management, Building Services or a similar environment.
- Strong communication and customer service skills.
- Excellent organisational skills with the ability to prioritise a busy workload.
- Good attention to detail and accuracy.
- Confident using Microsoft Office applications.
- Ability to work independently as well as part of a team.
- Experience using CAFM systems or similar maintenance management software.
- Previous experience supporting compliance administration.
- Knowledge of planned preventative maintenance (PPM) and reactive maintenance processes.
- Experience coordinating subcontractors or engineers.
- Relevant administration or business qualifications.
