Main Purpose of the Role

To promote and deliver the highest standard of customer service and maximise the profitability of the branch through the effective and efficient use of all available resources, while implementing the long and short-term strategies of WineFlair (Belfast) Ltd. To support the Store Manager in all aspects of their work and deputise in their absence.

Customer Service

  • Offer an efficient and friendly service in line with Company guidelines
  • Ensure customers are served efficiently by assisting the Manager to plan for busy periods and meet customer arrival patterns
  • Endeavour to meet specific customer requests or demands wherever possible
  • Respond to customer queries or complaints quickly and effectively
  • Continuously develop and share product knowledge with staff and customers
  • Ensure the layout and appearance of the Store is appealing to customers
  • Maintain a well-presented and professional appearance in accordance with the Company dress code and uniform policy

Staffing & Training

  • Work unaccompanied and use own initiative when required
  • In the absence of the Store Manager, ensure the Store opens in accordance with agreed opening hours and plan staff rotas to maintain appropriate staffing levels
  • Assist with recruitment and selection of replacement staff as necessary
  • Assist the Store Manager in ensuring staff receive the training required to perform their duties
  • Be fully conversant with routine operational tasks, including banking, ordering, deliveries, stock control, paperwork and wages, to ensure these can be managed in the Manager's absence
  • Be fully conversant with staff duties, including till operation and cash handling procedures, to provide assistance and deal with queries when required
  • Assist the Manager with staff performance management through clear communication of expected standards and feedback on individual performance
  • Encourage teamwork and support the achievement of Store and business objectives
  • Regularly discuss Store performance and sales achievements with the Manager and staff and encourage ideas for improvement
  • Communicate relevant Company information effectively with all staff
  • Adhere to WineFlair policies and procedures relating to HR, harassment, equal opportunities, sickness, absence and holiday entitlement
  • Assist with disciplinary and grievance procedures as required in accordance with Company policy
  • Lead by example and maintain the standards of conduct and performance expected of the role

Merchandising & Deliveries

  • Ensure promotional stock is placed on the shop floor, shelves and stands in accordance with the Floor Plan
  • Remove previous promotional stock from prime locations and store excess stock appropriately
  • Ensure all approved POS materials are displayed correctly throughout the Store
  • Update promotional information on tills, labels and other relevant systems daily
  • Receive and check deliveries and ensure the shop floor is fully stocked before moving excess stock to the back store

Administration & Accounting

  • Complete site paperwork and accounts accurately and promptly for submission to WineFlair Head Office
  • In the absence of the Manager, calculate and reconcile wages sheets and record hours in accordance with Company procedures
  • Manage and record petty cash levels and ensure banking and lodgements are processed accurately and on time
  • Identify reasons for cash shortages and take appropriate action through training, supervision or disciplinary procedures where necessary
  • Ensure till shortages are reimbursed and relevant paperwork is completed and submitted to Head Office
  • Process cash and credit/debit card transactions in accordance with Company policy
  • Adhere to Company stock ordering procedures
  • Maintain effective stock control and rotation to minimise out-of-date stock
  • Place orders in accordance with Company policy and supervise and document the receipt of goods
  • Assist with stock taking and ensure stock levels are accurately recorded and monitored

Sales & Marketing

  • Increase sales by promoting customer loyalty and encouraging new business
  • Merchandise products accurately and attractively to maximise sales
  • Ensure staff and customers are aware of in-store promotions and special offers
  • Ensure promotions and special offers are administered correctly and sufficient stock is available
  • Ensure only authorised WineFlair advertising and promotional material is displayed
  • Ensure shelves are clean, properly stocked and front-facing, with regular stock rotation
  • Monitor local competitor activity and report relevant changes to the Store Manager or Area Manager

Availability

  • Attend meetings and management development/training programmes as required
  • Perform key holding duties as required by Head Office and/or the Alarm Company
  • Work alternative Friday and/or Saturday evening shifts in conjunction with other Store Management members
  • Be flexible regarding location of work and assist in other WineFlair Stores when required
  • Be flexible to cover absenteeism and work additional hours when required
  • Support the Store Manager in all aspects of their work
  • Step up and deputise in the absence of the Store Manager

Health & Safety

  • Understand and comply with WineFlair's Health and Safety at Work policy and ensure staff are familiar with its requirements
  • Maintain high standards of personal hygiene and comply with relevant Health and Safety dress requirements
  • Ensure all areas of the premises, including staff areas, stockrooms, yards and shop fronts, are maintained in a clean and tidy condition
  • Assist with routine monthly inspections of the retail premises and report hazardous conditions or required actions to the Area Manager and Human Resources Department
  • Help ensure compliance with Food Hygiene Laws and Regulations through implementation of HACCP guidelines
  • Be familiar with the location and use of fire extinguishers and emergency evacuation procedures
  • Ensure correct manual handling procedures are followed
  • Maintain and replenish the Site First Aid Box and record usage
  • Record all injuries and incidents in the Accident Book and complete the required WineFlair accident form
  • Ensure compliance with all age-restricted legislation, including legislation relating to tobacco, lighters, fuels and solvents

Security

  • Safeguard WineFlair property and equipment and monitor suspicious circumstances or potential security risks
  • Report damage, loss of goods or stock and other security incidents to the Store Manager
  • Attend alarm calls as required as part of key holder duties and ensure contact information remains up to date
  • Be familiar with video surveillance equipment, store security systems and safes
  • Maintain professional confidentiality at all times and do not disclose confidential Company information to unauthorised persons

Additional Duties

Any other duties relating to the position as may be deemed necessary by management.
