Due to rapid expansion, Windnostics Ltd. is looking for a part‑time Office Administrator to support daily office operations and customer communications. The role requires strong organisational, interpersonal and numerical skills, the ability to work independently, and a flexible approach to meet the needs of a small office environment.
Responsibilities
- Manage the day‑to‑day running of a small office, including filing, organising and maintaining records.
- Respond to and communicate directly with clients on behalf of the Managing Director and senior technicians.
- Coordinate monthly staffing for all site projects and keep accurate records of staff overtime and leave.
- Arrange travel and accommodation for staff working at remote locations, including hotels, flights, and vehicle servicing.
- Raise and forward purchase orders, quotations and invoices; submit risk assessments and method statements to clients.
- Maintain accurate records of technicians’ mandatory training, PPE inspections, employee performance reviews, and HR documents.
- Collect post, deliveries and parcels from reception; prepare letters, presentations, reports and take meeting minutes.
- Implement and maintain office administrative systems, health and safety documentation, and business insurance records.
- Provide basic HR support, keeping personnel records up to date and managing basic payroll tasks.
- Assist with monthly payroll, employee PAYE and NIC payments to HMRC, and input invoices and expenses into Xero accounting software.
Requirements
- Excellent communication and organisational skills.
- High level of spoken and written English; courteous telephone manner.
- Proficient with Microsoft 365 office package; Xero accounting software desirable.
- Experience with Pleo expenses software and basic HR/accounting experience desirable.
- Ability to work independently, balance multiple tasks, and maintain empathy with clients, staff and management.
- Must reside within 30 minutes commutable distance to the Greenfield Business Centre, Holywell.
Schedule & Compensation
- Typical Monday to Wednesday 9:00–16:30 (includes paid lunch hour); part‑time hours are flexible with a work‑from‑home option up to four days a week.
- Salary pro‑rata to full‑time rate, £32,000.00–£37,000.00 per year.
- Benefits: company pension scheme, company bonus scheme, flexitime, on‑site parking, and work‑from‑home option.
