Winchester College is seeking a School Operations Coordinator to provide crucial administrative and operational support to the Second Master (Senior Deputy Headmaster). This key role is central to the smooth day-to-day running of the College, combining personal assistant duties with the coordination of significant school events.
The Role
As our school expands, we are restructuring our administrative teams to provide enhanced support for our leadership. This is an exciting opportunity for a dynamic and experienced professional to join a collaborative support team. You\'ll be instrumental in ensuring efficiency and organisation across various school operations.
Your responsibilities will involve:
- Executive Support: Managing the Second Master\'s diary, correspondence, and serving as a primary point of contact. This includes drafting communications, handling inquiries, and coordinating meetings.
- Event Coordination: Leading the planning and execution of large-scale, whole-school events such as prize-givings, services, and other ceremonies. This involves logistical management, liaison with various departments, and briefing stakeholders.
- Administrative Oversight: Managing pupil-related administrative matters, overseeing central record-keeping for rewards and sanctions, and ensuring timely notifications. You\'ll also handle critical updates to the school calendar, term dates, and staff handbooks.
- Operational Management: Contributing to the efficient operation of the school by preparing materials for senior colleagues, managing staff duty rotas, and arranging cover for absences.
About You
We are looking for a highly organised, proactive, and personable individual with exceptional attention to detail.
- Proven experience as a Personal Assistant or Executive Assistant supporting senior management.
- Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Demonstrated ability to manage a busy and varied workload independently, prioritise tasks, and meet strict deadlines.
- Excellent written and verbal communication skills, with a friendly and professional demeanour.
- Strong interpersonal skills, capable of building rapport with staff, pupils, and parents.
- A high level of accuracy, discretion, and the ability to maintain confidentiality.
- Minimum of 5 GCSEs (A*-C or equivalent) including English and Maths.
- Familiarity with school information management systems (e.g., iSAMS, SOCS).
- Previous experience in an educational or boarding school setting.
What We Offer
- Start Date: Flexible, ideally 1st September 2025.
- Working Hours: Full-time during term-time (Monday-Friday, 8:00 am - 5:00 pm, plus alternate Saturday mornings 8:30am - 12:30pm). During school holidays, an average of 20 hours per week is expected, worked flexibly and by agreement with the Second Master.
- Salary: £45,000 (gross) per annum (full-time equivalent, 52-week role), commensurate with qualifications and experience.
