Wincanton Dedicated Grocery is looking for a People Assistant to join our successful team on the ASDA contract based at the Larne Regional Distribution Centre, Northern Ireland. This role is a full-time temporary position working any Monday to Friday 8:00 to 16:00 (due to the payroll processing deadlines on occasions cover on Sundays and working from 6am on Mondays will be required).

Reporting to the People Manager/Advisor, the successful applicant will be responsible for:

  • Maintaining confidentiality and professionalism at all times
  • Prioritising work and ensuring timely and accurate completion of all aspects of HR and payroll functions
  • Weekly timecard checks and processing of payroll within the designated timelines
  • Managing payroll administration and queries in a timely manner
  • Liaising with People Services and raising tickets to manage any payroll or employee queries
  • Producing accurate daily, weekly, and monthly reports as requested
  • Absence management, including the administration/note taking and identifying triggers for absence reviews and assisting managers organise meetings, as per the Company’s Absence Policies and Procedures
  • Maintaining and updating employee records i.e. annual leave records, Oracle (Human Resource Information System)
  • Management of administration/documentation including filing, e-filing, and working within the parameters of data protection regulations and retention policies
  • Providing excellent professional service to all employees and external stakeholders
  • Assisting in best practice approach to recruitment and selection of employees throughout the depot ensuring all processes are in line with legislation, comply with employment law i.e. Equal Opportunities and carry out all associated administrative duties
  • Assisting arrange meetings and note taking at employee meetings
  • Assisting in the implementation of our colleague engagement strategy
  • Being aware of changes in legislation and acts upon such to ensure procedures and controls are in place to maintain information and integrity dealing with such accurately and within timescales e.g. SMP, SSP, Sick pay, holiday pay
  • Undertaking such duties as may be reasonably required for the effective operation of the function and the department

Required Qualifications & Experience:

  • Educated to GCSE level or equivalent, including English and Maths
  • Good IT skills and experience of using Microsoft applications
  • Administrative work experience is desirable

  • Confident and resilient in order to cope with a fast paced and ever-changing business environment
  • Has effective interpersonal skills, particularly the ability to communicate effectively at all levels
  • Ability to work on own initiative
  • Numerate and accurate
  • Honest, trustworthy and confidential
