All about the role:

Main Purpose of Role:

  • To provide administrative and organisation functions relating to all future sports development of Stanley Park Sports Ground.
  • Ensure that all sections of the community are aware of available council activities, facilities and where they can go to get involved either for fun or up to competition standard.
  • Responsible for the distribution of information and organise sport related projects, classes, programmes, coaching, club development and training.
  • To provide administrative and organisation functions relating to the booking of Stanley Park Sports Ground to community and corporate hirers and private hirers.

Key Tasks (Sports Development Support)

  • Support the Head of Leisure Services with the continual development of Stanley Park Sports Ground.
  • Support raising public awareness of health and fitness issues and promoting participation in sport.
  • Support evaluating and monitoring activities and projects using performance indicators.
  • Liaise with clubs to develop coaching, youth development and issues such as safeguarding to manage clubs effectively.
  • Use information and publicity to ensure that the community is aware of the sporting opportunities available to them.
  • Continue to liaise and organise all outreach and school sporting activities that are being delivered.

Key Tasks (Venue Bookings)

  • Receive all initial enquiries relating to lettings of Stanley Park Sports Ground ensuring that all enquiries are logged, confirmed and invoiced in accordance with set procedures. Act as the first point of contact when receiving booking enquiries.
  • Responsible for confirming all venue bookings, issuing all terms and conditions and contract requirements and maintain a comprehensive record relating to the usage of the Venue together with specific requirements relating to particular lettings.
  • Responsible for all weekly operational documentation, convene and attend staff meetings as required and responsible for production of all statistics, costings and correspondence.
  • Responsible for creation of invoices relating to the letting of the venue and the operation of a dedicated bookings package (currently Omega) and deal with all correspondence arising. Maintain all associated records linked to invoices and bookings.
  • Ensure that all bookings and invoices are appropriately coded so that all statistics relating to income, visitor numbers and number of hires is reported as and when required.
  • Responsible for ensuring that all facilities are available at the times and on the dates required and liaises with the Head of Leisure Services to ensure there are sufficient operational staff on duty for all bookings.
  • Responsible for liaising as required with appointed concessionaire(s) for food and drink supplies for the venues, arranges quotations for such concessions from time to time.
  • To liaise with the Head of Leisure Services to help to proactively sell all venues space, responding promptly to enquiries and consistently provide a professional and helpful service to customers and enquirers, whether by phone, email or in person
  • Enter all bookings onto the bookings system, ensuring information is accurate and promotes the event/activity effectively.
  • Liaise with Head of Leisure Services about Stanley Park events and activities and bookings, ensuring they are well informed and that systems and procedures are implemented effectively, rectifying any matters arising.
  • Liaise with hirers, supplying sales reports/settlements and information needed for invoicing.
  • Liaise with the bookings system provider to ensure the systems works effectively and be the main point of contact for enquiries, maintenance and system upgrades.
  • Work with the Head of Leisure Services on plans to develop the bookings system to enable understanding of the Stanley Park Sports Ground hirers.
  • Provide reports and data as required on a regular and ad-hoc basis.

Special Conditions of the Post:

  • To attend if required out of hours functions at the venues, including weekend and Bank Holiday working.
  • To be available, subject to operational requirements, to attend any relevant training courses.
  • To undertake any other duties required by the management of the Town Council which are applicable to the grading and nature of the post and which do not change the general character of the duties or the level of responsibility entailed.

Primary Relationships:

  • Line managed by the Head of Leisure Services.
  • Works closely with the Head Grounds person, Grounds team and Facility Supervisor.
  • All employees of Chippenham Town Council and members of the Management Team.
  • Members of the public and all users of the venues and facilities.
  • Contractors and suppliers of goods and services for the venues.
  • Members of the Town Council in accordance with the approved Protocol.

Person Specification

Essential Criteria:

  • Experience of working in a busy environment
  • Experience of booking systems used in venues, hotels, theatre or similar
  • Experience of working in sports and leisure facility
  • Understanding or experience of working with Word/Excel
  • Good verbal and written communication skills
  • Customer service/contact
  • Qualified to GCSE level in English and Maths
  • Good organisation and time management with ability to work as part of a team
  • Self-motivated with the ability to work under pressure to meet deadlines and make decisions
  • A positive approach to work and flexible approach to hours of work
  • Outgoing and personable manner

Desirable Criteria:

  • Experience of partnership working
  • Knowledge of sporting/leisure bookings. In particular understanding football pitch bookings requirements (7v7, 9v9, 11v11) grass and 3G hire
  • Knowledge of Sports Development within the community
  • Preparation of statistical data and reports
  • Willing to participate in relevant training
