The Executive Personal Assistant provides administrative, organisational, and personal support to the CEO. This role requires discretion, proactive problem-solving, and the ability to manage complex schedules, communications, and priorities in a fast-paced environment. The Executive Personal Assistant acts as a trusted gatekeeper and partner, enabling the executive to operate at peak effectiveness.
Key Responsibilities
- Manage complex calendars, scheduling meetings, appointments, and travel across multiple time zones.
- Coordinate domestic and international travel, including itineraries, visas, accommodations, and expenses.
- Serve as the primary point of contact between the CEO and internal/external stakeholders.
- Prepare agendas, briefing materials, reports, and presentations.
- Handle confidential information with the highest level of discretion and professionalism.
- Manage emails, correspondence, and phone calls, prioritising and responding on behalf of the CEO when appropriate.
- Track action items, deadlines, and follow-ups to ensure timely execution.
- Organise meetings, board sessions, and events, including logistics and documentation.
- Maintain filing systems (digital and physical) for easy retrieval of information.
- Assist with personal scheduling, appointments, and special projects.
- Coordinate personal travel, events, and errands as requested.
- Liaise with service providers or vendors when necessary.
- Anticipate CEO needs and proactively resolve issues.
- Conduct research and prepare summaries to support decision-making.
- Support special projects and initiatives as assigned.
Qualifications
