Location: Site-based, Drongan
Role Purpose: To provide high-level administrative, compliance, and data support to the Head of Operations, ensuring that operational records, documentation, trackers, and communications are accurate, up-to-date, audit-ready, and well-organised across all Wilsons Pet Food manufacturing and logistics sites.
Key Responsibilities:
- Operations Administration: Maintain and update daily, weekly, and monthly operational trackers (Safety, Quality, Cost, Delivery, People). Responsible for production planning and scheduling (orders, pack formats, site splits, production calendars). Responsible for purchasing the right material and the right price at the right time in line with costed standard or better, striving to reduce price wherever possible. Collate data from multiple sites (Ayr, Blairgowrie, 3PLs) into clear summary reports. Prepare documents, slides, and summaries for internal operational reviews. Maintain the Operational activity-based costing model tracking any improvements.
- Compliance & Technical Support: Maintain HACCP files, Safety database, validations, and training records and update training matrix. Ensure all documentation is version-controlled, signed, dated, and archived correctly. Support SALSA, APHA, FSS, Trading Standards, and customer audits by preparing evidence packs. Track corrective actions, non-conformances, and follow-ups to closure. Assist with supplier approval documentation and compliance confirmations (e.g. GMO, specs, declarations).
- Document Control & Systems: Act as document control owner for Operations (SOPs, forms, logs, templates). Ensure consistent naming conventions, versioning, and storage in Google Drive / SharePoint. Convert handwritten or paper records into clean digital formats where required. Maintain registers for SOPs & procedures, Training records, Equipment & calibration, Weighing equipment & certificates.
- Data, Spreadsheets & Reporting: Maintain and improve Google Sheets / Excel trackers used by Operations. Update formulas, validate inputs, and ensure data accuracy. Create simple dashboards, summaries, and visual reports for management use. Support automation initiatives (basic AppSheet / Power Automate / Zapier support where trained).
- Communication & Coordination: Liaise with suppliers, service providers, auditors, and internal teams on admin matters. Responsible for managing goods-in and order fulfilment administration, liaising with 3PL partners as required. Prepare professional emails, letters, and confirmations on behalf of the Head of Operations. Coordinate site visits, engineer visits, audits, and meetings (agenda, notes, actions). Follow up actions to ensure nothing “falls between the cracks.”
Key Skills & Experience:
Essential:
- Strong administrative background in manufacturing, food, FMCG, or regulated environments
- Excellent organisation and attention to detail
- Confident with Microsoft Workspace (Word, Excel, One Drive)
- Comfortable working with numbers, trackers, and structured data
- Able to manage multiple tasks and priorities independently
- Professional written communication skills
- Thermal processes training (to be provided)
Highly Desirable:
- Experience with food manufacturing, pet food, or compliance-led environments
- Exposure to HACCP, SALSA, ISO, BRC, or similar standards
- Experience supporting audits or inspections
- Strong Excel / Google Sheets skills (formulas, lookups, conditional formatting)
- Experience with document control systems
